Executive Assistant II
We are seeking a highly motivated and customer-obsessed Executive Assistant to support the Vice President of Business Intelligence and Transaction Risk. This role requires a strong focus on execution and involves managing a high volume of tasks including complex calendar management, scheduling, and prioritizing amidst a flood of information and requests. You will ensure appropriate levels of urgency are given to tasks, monitor and track the Vice President's meetings, priorities, and emails, and act as a proxy when necessary. Additionally, you will manage travel, expenses, and all administrative support functions for this office. This role also involves managing multiple tasks, documenting action items, following up, and preparing for the Vice President to ensure timely action on deliverables. Responsibilities: Manage complex calendar and scheduling tasks for the Vice President. Prioritize information and requests with appropriate urgency. Monitor and track Vice President's meetings, priorities, and emails. Act as a proxy for the Vice President when necessary. Manage travel and expenses along with all administrative support functions. Document and follow up on multiple tasks and action items. Prepare and ensure timely action on deliverables for the Vice President. Essential Skills: Ability to complete a high volume of tasks and projects with little to no guidance. Impeccable attention to detail and the ability to make smart, timely decisions. Exceptional verbal and written communication skills. Ability to react with appropriate levels of urgency to situations and events. High levels of integrity and discretion in handling confidential information. Professionalism in dealing with high level professionals inside and outside the company. At least two years of college education; a bachelor's degree is preferred. 6+ years of experience supporting executive level management (VPs, or CEOs). Strong working knowledge of Microsoft Office and Outlook tools. Additional Skills & Qualifications: Experience with calendaring and Outlook. Experience with travel management, particularly using Concur, is a plus. Experience in supporting executive management is key. Work Environment: The position is within a dynamic business group and requires a Monday to Friday schedule from 8 AM to 4 PM, with the possibility of starting at 7 AM.
