As a Mitigation Project Coordinator, you'll be the calm in the storm, guiding clients through the restoration process and helping them get their lives back on track. This is a key administrative and operational role on our team, and we're looking for someone sharp, organized, and compassionatesomeone who thrives under pressure and genuinely cares about helping others. What You'll Do
Coordinate all day-to-day activities for assigned mitigation projects Serve as the main point of contact for homeowners and clients Schedule and manage technicians, project timelines, and job updates Maintain accurate and up-to-date documentation in job management software Organize and maintain digital and physical project files and records Prepare reports, job summaries, and billing documentation for internal and external use Ensure timely and professional communication with clients, vendors, and insurance adjusters Assist in maintaining compliance with insurance program requirements and internal protocols Support Project Managers with job costing, material ordering, and resource tracking Manage administrative tasks such as data entry, email correspondence, scheduling, and meeting coordination Process incoming paperwork (e.g., work authorizations, permits, inspection reports) and track follow-ups Conduct final walk-throughs and ensure full customer satisfaction Handle customer concerns with professionalism and empathy Estimate emergency services billing and negotiate scopes with adjusters Support A/R collections, reconstruction, and other departments as needed Occasionally assist in marketing and business development initiatives What You Bring
12+ years of relevant experience preferred (restoration or construction industry a plus) High school diploma or equivalent (college or administrative coursework a plus) Strong administrative, organizational, and time-management skills High attention to detail with ability to track multiple moving parts Excellent verbal and written communication skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Experience with CRM or job management software preferred (e.g., DASH, Xactimate, PSA) Ability to work independently and as part of a team in a fast-paced environment Problem-solver with a proactive, team-first attitude Mitigation experience and/or IICRC certifications a plus, but not required Schedule
Standard hours: 9:00 AM
6:00 PM Must be able to participate in rotating phone on-call schedule What You'll Get
