Office Coordinator
The Office Coordinator supports the day-to-day operations of the office, ensuring smooth communication, organization, and job file management. This role is essential in helping the team stay on track, providing administrative support, and keeping documentation accurate and up to date. Key Responsibilities
Clerical & Administrative Support Answer phones, greet visitors, and route calls/messages. Manage incoming/outgoing mail, packages, and job-related documents. Schedule meetings, appointments, and assist with team calendars. Job File & Documentation Support Assist with setting up, maintaining, and closing job files. Enter job-related notes and documents into company systems (e.g., QuickBooks, Bill.com, Xactimate, DocuSketch, or internal software). Support Job Cost Coordinator with paperwork and data entry as needed. Operations Support Coordinate vendor scheduling and maintain subcontractor contact info. Order office supplies and field equipment when needed. Ensure paperwork, signatures, and compliance documents are properly filed. Team Support Provide administrative assistance to managers and technicians. Help with timesheet collection and expense report submissions. Support customer communication by preparing letters, packets, or follow-ups as directed. Qualifications
Prior experience in office administration, customer service, or clerical work preferred. Strong organizational skills with attention to detail. Proficient with Microsoft Office (Word, Excel, Outlook) and able to learn industry software. Clear written and verbal communication skills.
