The Bookkeeper I at Out of the Box Technology plays a crucial role in supporting our clients' financial operations by ensuring accurate transaction recording, reconciliations, and financial reporting. This role is ideal for someone who is detail-oriented, eager to learn, and proficient in QuickBooks Online/Desktop. Working under the guidance of more senior bookkeepers and accountants, the Bookkeeper 1 will help maintain financial records, process accounts payable and accounts receivable and assist with month-end closing tasks. This position provides an excellent opportunity to develop a strong foundation in bookkeeping, accounting software, and client service while growing within a dynamic and technology-driven environment. Primary Responsibilities

Perform daily bookkeeping tasks, including data entry, bank reconciliations, and accounts payable/receivable. Process and categorize transactions in QuickBooks Online (QBO) Prepare financial statements, balance sheets, and profit & loss reports under supervision. Assist in payroll processing and payroll tax filings as needed. Record payroll expenses from an outsources payroll service. Communicate with clients to gather financial information and clarify transaction details. Ensure compliance with accounting principles and company policies. Identify and resolve minor discrepancies in financial records. Maintain strict confidentiality and act with integrity when handling sensitive client data. Basic Accounting and Data Entry

Record financial transactions

Enter customer invoices, vendor bills, and payments into QuickBooks Online or Desktop. Categorize transactions

Assign expenses and income to the correct chart of accounts. Reconcile bank and credit card accounts

Match transactions in QuickBooks with bank statements. Process accounts payable

Enter and track vendor bills, ensuring timely payments. Process accounts receivable

Generate invoices, apply payments, and follow up on outstanding balances. Maintain general ledger

Post journal entries and ensure the accuracy of financial data. QuickBooks-Specific Tasks

Set up and maintain QuickBooks files

Ensure clients' QuickBooks Online/Desktop accounts are properly structured. Use QuickBooks bank feeds

Download, categorize, and reconcile transactions efficiently. Generate QuickBooks reports

Prepare basic Profit & Loss, Balance Sheets, and Cash Flow Statements for clients. Assist with QuickBooks payroll

Enter payroll data and help process payroll tax filings if applicable. Compliance and Reconciliation

Ensure data accuracy

Review entries for duplicates, missing information, or incorrect categorizations. Track and record sales tax

Set up and manage sales tax tracking for clients, ensuring compliance. Prepare for month-end and year-end close

Support accountants by reconciling accounts and making adjustments. Support audit requests

Gather financial records and ensure compliance for client audits. Client and Vendor Communication

Handle client inquiries

Respond to client questions about invoices, reports, and QuickBooks functions. Manage vendor and bill payments

Work with vendors to ensure bills are recorded and paid on time. Process employee reimbursements

Review and record employee expenses for clients. Operational and Professional Development

Follow company bookkeeping SOPs

Adhere to Out of the Box Technology's processes and best practices. Stay updated on QuickBooks features

Learn new QuickBooks functions and industry changes. Collaborate with senior bookkeepers and accountants

Assist higher-level team members in financial reporting and advisory work. Competencies

Associate degree in Accounting, Finance, or a related field (or equivalent experience). 1+ years of bookkeeping or accounting experience. Proficiency in QuickBooks (QBO and/or QBD) and Microsoft Office Suite. Strong organizational skills and ability to manage multiple clients.
