Legal Administrative Assistant

Salary Range: $69,800.00 - $116,400.00 This pay range represents the minimum and maximum compensation that the position offers, and final compensation can vary within the range depending on work location, job experience, skills, and relevant educational attainment and/or training. Job Location: San Leandro, CA Employment Type: Hybrid- Part-Time The job supports the Legal Team in the Americas. The role will provide administrative support. The role is based in San Leandro (hybrid with a 50% in-office requirement) and will report to the VP, Legal Sales and will contribute to the efficient running of the Legal department in the Americas. The role is part time, with a schedule to be agreed: 8am to 12pm, or 9am to 1pm, Monday-Friday. Though the role is supporting the legal team, legal experience or background is not required. Key Responsibilities
Draft, edit, and proofread documents. Manage calendars, schedule meetings, and coordinate travel for legal staff. Maintain and organize case files, legal records, and electronic databases. Ensure confidentiality and security of sensitive legal information. Assist in budget tracking, invoicing, and billing for outside counsel or vendors. Raise purchase orders and liaise with vendors. Organizing and overseeing internal and external events for example workshops, department social gatherings, team meetings, etc. This includes sourcing venues/booking meeting rooms, organizing catering and videoconferencing requirements, and approval/payment processing. Taking notes/minutes at meetings as needed and circulating these promptly after the meeting, following up on any relevant actions to ensure the relevant information is cascaded. Providing support on ad hoc projects as required. Assisting with onboarding of new team members, including ordering of IT equipment and access to AVEVA systems. Assisting with the resolution of any IT issues, by liaising with the IT department to ensure a positive outcome. Qualifications
Post-secondary education in Legal Administration, Paralegal Studies, or a related field is a plus but not required. 2+ years of experience in legal administration, office administration, or a related role. Strong knowledge in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience in using Salesforce (preferred). Experience of drafting presentations in PowerPoint. Knowledge of Oracle or other Purchase Order processing platform. Travel and expense management experience. Excellent organizational, time-management, and multitasking skills. Strong written and verbal communication abilities. Ability to maintain confidentiality and work with discretion. Key Competencies
