Administrative Assistant I-II
Under Class 3 supervision, with wide latitude for planning and laying out work details, provide support to management and field personnel and be able to do the following and related work in the department to which he/she is assigned: Ability to operate standard office equipment and be proficient in computer applications required for the position (Examples include but are not limited to: time entry and payroll systems, contact management systems, invoice programs, expense reporting systems, schedule systems) Adhere to established company and departmental policies. Perform necessary computer and clerical work to support department to which assigned. Communicate effectively and maintain professionalism during stressful conditions when dealing with internal and external customers. Assist with special projects including but not limited to sensitive and confidential data. Provide support for emergencies, storm work, and outage restorations (including out of town), during scheduled and non/scheduled hours as required. Be familiar with companys policies, procedures and responsibilities of department to which assigned. Create and maintain routine records, files, reports, maps, charts, etc. Be proficient in specialty computer programs related to departmental responsibilities. Attend and take part in monthly safety meetings, health initiatives and be able to administer all approved methods of resuscitation, and be able to render practical first aid. Ability to research data and provide collected information and documentation as necessary Responsible for departments records management Coordinate events/meetings/trainings as requested. Such as ordering supplies, food, documents, invites, maintaining calendars, and room reservations. Generate work requests such as IT requests, access request, etc. Be capable of updating schedules in various company programs. Be proficient in monitoring and ensuring accuracy of accounts payable and accounts receivable as requested. From time to time, be able to assist with dispatching of work orders as requested. Train new administrate assistant personnel regarding departmental procedures, policies, and job duties. High school diploma or equivalent required. Have general knowledge of clerical work and is familiar with all phases of work. Have some knowledge of utility operations practices and regulations. Good verbal and written communication skills. Proficient in use of company computer programs and terminal applications. Good analytical skills so as to provide assistance to his/her supervisor in reviewing any and all documents pertaining to their work group, such as payroll, budget, or any other assigned items. Ability to work under stressful conditions. Knowledge of company organizational operations to which assigned. Qualify for vehicle operators license. Meet all qualifications of Operations Support Specialist. Must have necessary major life activities: Seeing, hearing and speaking. Have strength and endurance adequate to discharge assigned duties. Be energetic and alert. Be willing to work under unusual surroundings, as well as the normal working conditions pertaining to this job. Be able to receive and execute orders and instructions in such a manner as to inspire respect of associates. Have temperament suited to work of a routine and confining nature and be able to work in harmony with other employees. Understand the importance of treating as confidential certain items handled, and have ability to recognize such items. Must possess good judgment and have the desire to work with people. Must be alert, aggressive, tactful, resourceful, cooperative and demonstrate initiative for coordinating department in absence of management.
