Position Summary: The Administrative Assistant works closely with the school leadership team and family liaisons to facilitate communication and collaboration between the school, students' families, and the local school districts. Supports current and potential families as they engage in our school's enrollment process. Accurately enter student data into the student information system and prepare both school and state reports. The incumbent typically supports the Administrative office job functions in fostering a positive relationship between the school, students' families, and the broader community.
Key Tasks and Responsibilities: Manage student registration process and recruitment. Compile data for government agency reports. Provide clerical support, including filing, data entry, and managing correspondence. Serve as the primary point of contact for prospective students and families Manage and maintain student and employee records in NJ state databases. Answer phones and provide customer service to stakeholders. Respond to records requests for other school districts. Supporting staff with student lunch/recess duty, as needed. Front desk coverage, as needed. Enter, maintain, and update accurate student information in the Student Information System (SIS). Monitor and track student demographics, enrollment trends, and other key data points to support school planning and compliance. Generate regular reports on enrollment, student demographics, and related metrics for school leadership and external stakeholders. Ensure compliance with school, district, state, and federal policies related to student enrollment and data reporting. Collaborate with administrators, teachers, and support staff to ensure smooth onboarding of new students. Maintain accurate and confidential student records in accordance with Family Educational Rights and Privacy Act (FERPA) and other regulations. Identify and troubleshoot issues with student data or enrollment processes, recommending improvements as needed. Provide ongoing support to families with registration, transfers, and withdrawals. Outreach and Engagement
Assist in planning and executing student recruitment initiatives, open houses, and community outreach efforts. Support efforts to increase student enrollment. Assist in development of publication/school materials; i.e.; brochures, posters and flyers both digital and hard copy. Assist in identifying and reaching out to families who may need additional support or resources. Support efforts to engage families in school activities and encourage their participation in their children's education. Qualifications:
High school diploma or equivalent; 60 or more college credits preferred. Experience in an educational office setting is a plus. Strong organizational and communication skills. Excellent customer service skills. Proficiency in Microsoft Office Suite. Ability to work independently and effectively with diverse populations. Skills and Abilities:
Ability to work independently with minimal supervision. Superior time management skills. Excellent interpersonal and customer service skills. Must type a minimum of 50 words per minute, with high degree of accuracy. Ability to manage multiple tasks simultaneously and prioritize effectively. Strong problem-solving skills and attention to detail. Flexibility and adaptability to changing circumstances and needs. Bilingualism is preferred.
Work Environment:
This position typically works in person in an office setting, with occasional travel to local educational institutions for student recruitment.
