Position: Administrative Assistant
Pay Rate: $23.00 /hourly
Location: Stockton, CA
Schedule: Monday - Friday | 8:00am - 5:00pm
Job Description: We are seeking a highly organized and dependable Administrative Assistant to support our consulting team by managing document workflows and ensuring smooth daily operations. This position plays a key role in supporting client service, particularly in the food safety and regulatory compliance space.
Responsibilities
- Handle document requests from clients, auditors, and regulatory agencies
- Maintain and organize digital and physical filing systems for food safety documentation
- Format, proofread, and prepare documents including SOPs, HACCP plans, audit responses, and compliance reports
- Track document versions and maintain accurate revision control
- Monitor shared inboxes and respond professionally to client inquiries
- Schedule and coordinate internal and external meetings as needed
- Support consultants with administrative tasks including scanning, data entry, and document prep
- Safeguard confidential and sensitive food safety records
Qualifications
- 1+ years of experience in an administrative or office support role
- Experience in food safety or regulatory environments is a plus
- Proficient in Microsoft Office (Word, Excel, Outlook); Apple Workspace familiarity desirable
- Excellent written and verbal communication skills
- High attention to detail and strong time management
- Ability to prioritize and work independently in a fast-paced environment
- Familiarity with food safety standards (Global GAP, Primus, SQF, HACCP) is a plus
- Previous experience supporting consultants or service-based businesses is desirable
Education
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
