Department: BSD ACC - Educational Programs The Department of Anesthesia & Critical Care at the University of Chicago has evolved into a large, collaborative team with faculty, residents, fellows, and staff dedicated to clinical care, education, and scholarly activity. Job Summary
The Fellowship Programs Coordinator, under the oversight of the Medical Education Manager, is responsible for the operational and financial management of the fellowship training program. The role requires understanding of national accreditation policies and hospital policies, initiative, and independent judgment. Primary duties include long-range planning, trainee recruitment, project development, workflow analysis, database management, communications with faculty and trainees, and managing internal and external program relations.
Responsibilities
Work with the Medical Education Manager to direct complex schedule development for each fellowship track, including prerequisites for rotations, on-call coverage, section timing preferences, sequence constraints, and number of fellows per rotation.
Identify special needs within fellowship tracks and ensure department, education, and regulatory criteria are met.
Prepare statistical materials to meet accreditation and evaluation requirements.
Manage recruitment expenditures: advertising and print materials.
Maintain current awareness of the fellowship curriculum and activities; document training experiences for compliance with program accreditation.
Assist with accreditation reviews, including documentation and faculty participation.
Direct yearly recruitment activities for multiple tracks within the fellowship program.
Direct the faculty selection committee in collaboration with the Program Director; monitor faculty commitment to recruitment and review applicants; use data to evaluate and improve recruitment efforts.
Collaborate with the Medical Education Manager to manage conferences, events, trainings, and workshops; align requirements with accreditation, duty schedules, evaluation processes, recruitment, match process, orientation, and employee relations.
Report and ensure compliance with licensing, moonlighting, contracts, and re-credentialing procedures for trainees.
Record and manage payment processes for additional shifts and related compensation.
Partner with faculty, academic affairs, and leadership to attract and retain learners and provide an exceptional experience.
Facilitate the use of learning management systems and other educational technologies.
Coordinate and interpret program requirements, including accreditation, duty schedules, evaluation, recruitment, Match process, orientation, and employee relations.
Exercise moderate to high authority in reporting and ensuring compliance with procedures regarding licensing, moonlighting, contracts, and re-credentialing.
Perform other related work as needed.
Education & Qualifications Minimum Qualifications
Minimum requirements include a college or university degree in a related field.
Work Experience Minimum requirements include knowledge and skills developed through 2–5 years of work experience in a related job discipline.
Certifications Preferred Qualifications
Education
Bachelor's degree.
Experience
Previous experience within an Academic Medical Center environment.
