Fellowship Programs Coordinator – University of Chicago
The Fellowship Programs Coordinator, with oversight from the Medical Education Manager, is responsible for the operational and financial management of the fellowship training program. The role requires understanding of national accreditation policies and hospital policies, initiative, and independent judgment. Responsibilities include long-range planning, recruiting trainees, developing projects, analyzing administrative workflow, maintaining databases, communicating with faculty and trainees, and managing internal and external program relations.
Responsibilities
Direct complex schedule development for fellowship tracks, ensuring prerequisites for rotations and on-call coverage, timing preferences, sequence constraints, and the number of fellows per rotation. Identify special needs within fellowship tracks and ensure department, education, and regulatory criteria are met. Prepare statistical material to meet accreditation and evaluation requirements. Manage recruitment-related expenditures (advertising, print materials). Maintain awareness of fellowship curriculum and training activities; document training experiences for program accreditation compliance. Assist with accreditation reviews including documentation and faculty participation. Direct yearly recruitment activities for multiple tracks within the fellowship program. Direct the faculty selection process with the Program Director; monitor faculty commitment to recruiting and organize applicant reviews; use national and professional society data to evaluate recruitment activities. Collaborate with the Medical Education Manager to manage conferences, events, training sessions, and workshops; align requirements of clinical and academic training programs (accreditation, duty schedules, evaluation, Match process, orientation, employee relations). Ensure licensing, moonlighting, annual contracts, and initial and re-credentialing documentation and compliance. Manage payment processes related to additional shifts and related compensation. Partner with faculty and leadership to attract and retain learners and provide an exceptional experience. Facilitate the use of learning management systems and other educational technologies. Coordinate and interpret training program requirements, including accreditation, duty schedules, evaluation processes, resident/fellow recruitment, Match process, and orientation. Exercise substantial authority in reporting and ensuring compliance with trainee licensing, moonlighting, contracts, and re-credentialing procedures. Perform other related work as needed.
