As we continue to expand, we are looking for a dedicated and highly organized HVAC Service Dispatcher to join our team. Position Overview: The HVAC Service Dispatcher plays a vital role in ensuring our service technicians are dispatched efficiently to customer locations. This role is perfect for someone who enjoys multitasking, thrives in a fast-paced environment, and provides excellent customer service. The Service Dispatcher will work closely with technicians, customers, and management to ensure timely service and smooth daily operations. Key Responsibilities: Scheduling & Dispatching: Assign service calls to HVAC technicians based on location, expertise, and availability. Manage schedules and communicate updates to both customers and field technicians. Customer Communication: Act as the first point of contact for customers, providing them with appointment confirmations, updates on technician arrival times, and resolving any concerns or questions promptly. Coordination: Ensure that all service calls are completed efficiently by coordinating with technicians and monitoring job progress throughout the day. Track and adjust schedules as needed. Record Keeping & Data Entry: Maintain accurate records of service calls, work orders, and customer interactions. Input data into the companys service management software. Make credit and collection calls on open service receivables. Problem Solving: Quickly resolve any scheduling conflicts or urgent service issues. Offer solutions and adjustments to meet customer needs and maintain service quality. Collaboration: Work closely with the service manager and other team members to ensure efficient service operations and customer satisfaction.

Qualifications: Previous Dispatch Experience: Prior experience in a dispatching or customer service role is , especially in HVAC, plumbing, or similar service industries. Strong Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and keep track of technician schedules and customer needs. Excellent Communication: Must possess strong verbal and written communication skills to interact with customers, technicians, and the internal team. Problem-Solving Abilities: Must be able to think quickly and resolve issues effectively when problems arise. Tech-Savvy: Comfortable with using service management software, phone systems, and basic office technology (Microsoft Office, Google Suite, etc.). Positive Attitude & Customer Focus: A friendly, can-do attitude with a focus on providing excellent customer service and building positive relationships with customers and technicians.
