General summary: Responsible for front desk reception duties, including answering the main phone line and transferring calls to the correct associates; greeting visitors and assisting them with the sign-in process; assisting with daily office mail sorting and distribution to the different individuals/departments; preparing outgoing mail; UPS/FedEx; and responding to emails sent to the Office Services team; assists other departments with mass mailings as needed and electronically filing sorting and filling documents in Docuware. Schedule: Monday - Friday. Essential Duties & Responsibilities: Assist visitors and staff by greeting and welcoming them appropriately with a customer centered focus and ensuring that they are signed in with a visitor badge. Answer, screen and forward any incoming phone calls while providing basic information when needed. Printing and updating Rally Point roster daily. Update appointment calendars and schedule meetings/appointments. Assist Office Supervisor with internal meeting logistics. Answer and route emails sent to the Office Services team. Complete and send all requests; W9, Certificate of Liability, Business Cards. Maintain POD storage by clearing and filing documents in Docuware. Prepare and present monthly Safety materials and meetings. Perform other clerical duties when needed with special projects. Are You a Match? High School Degree - 3+ years' work experience in similar roles - Proficient in Google Suite - Strong communication and interpersonal skills to deal effectively with all levels of outside vendors, management and field personnel. Strong customer service skills and experience. - Ability to keep a high level of confidentiality - Ability to handle multiple tasks, work independently and be detailed-oriented. - Ability to make decisions and follow guidelines. - Ability to handle multiple tasks in busy environment, working independently to resolve issues and achieve results. - Excellent organizational, documentation and follow-up skills. Must have strong attention to detail. - Ability to understand and carry out oral and written instructions, requesting clarification when needed. - A positive approach and willingness to learn coupled with the ability to work in a team environment.
