Service Account Manager
Mechanical Service, Field Operations Philadelphia, PA Position Summary The Service Coordinator will work closely with the Service Manager, Field Supervisors and other department team members to performing his/her duties and will report to the Service Business Supervisor. The Service Coordinator is responsible for providing support to the service team, which may include data entry, reporting, and general office and administration duties to support both job sites and main office activities. What You'll Do: New Customer Setup Vendor Set Up/Credit Applications COINS (ERP system) data entry and reporting book quoted service order, enter budget, change orders, subcontract agreements, change orders, and job cost reports. Assembles and tracks subcontracts, change orders, insurance certificates, billings, lien releases, and certified payroll when applicable Tracks daily progress of Quoted Service Orders. Analyze incurred costs, budget and profitability. Prepares and submits monthly billings with all required supporting documentation according to contract requirements. Communicates with customers to ensure work performed meets or exceeds their expectations. Arrange follow-up visits, as necessary Responds to customer inquiries and resolves or escalates customer concerns or complaints, as appropriate. Meets with assigned Service team supervisors weekly. Identify and coordinate upcoming work, through to completion. Escalated support to follow up with clients regarding outstanding A/R. Updates and retains customer account information related to special billing conditions, tax status, invoice approval contacts, billing addresses and special billing rates. Enters service agreements into system. Ensures each customer's account information is and updated (special billing conditions, tax status, invoice approval contacts, billing addresses and special billing rates. Coordinates subcontracts, tools, materials and/or other specific agreement requirements. Creates Maintenance Agreement Welcome Email Package and Client binder for turnover meeting. Monitors maintenance schedule for manpower reports. Prepares yearly, quarterly and monthly schedule outline for planned maintenance. Identify potential impacts, flag and advise management team. QC completed maintenance reports to ensure scope, and all contract requirements are met. What You'll Need To Be Successful: Strong verbal and written communication skills Ability to set priorities and multi-task Competent analytical skills Excellent customer service skills.
