We are seeking a highly organized and proactive Receptionist & Administrative Assistant to support a team of 20 professionals in a dynamic law firm environment. This role is ideal for someone with legal industry experience who thrives in a fast-paced setting and enjoys building efficient systems from the ground up.
Key Responsibilities
- Serve as the first point of contact for clients and visitors with professionalism and discretion.
- Provide administrative support to attorneys and staff, including scheduling, document handling, and correspondence.
- Assist in setting up a new office, including vendor coordination, supply management, and workspace organization.
- Develop and implement administrative processes to improve workflow and operational efficiency.
- Manage incoming calls, emails, and mail; ensure timely and accurate communication.
- Maintain office records, legal files, and confidential documents.
- Support billing, timekeeping, and other legal administrative tasks as needed.
- Prior experience in a law firm or legal services environment is required.
- Proven ability to develop and implement office processes.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and legal practice management software.
- Ability to work independently and collaboratively with a team.
