Temporary Position Summary
We are seeking a detail-oriented and organized Administrative Assistant to provide essential support to our office operations. The ideal candidate is highly motivated, eager to learn, and able to manage multiple tasks in a fast-paced environment. Temporary Essential Duties And Responsibilities
- Greet and assist visitors, clients, and staff in a professional manner.
- Answer and direct phone calls, emails, and other inquiries promptly.
- Maintain multiple email accounts and provide immediate responses to time-sensitive communications.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and edit documents, reports, and presentations.
- Develop communications, including department brochures, flyers, announcements, and other written materials.
- Maintain electronic and paper filing systems, ensuring accuracy and confidentiality.
- Perform accurate and timely data entry, including database updates and record keeping.
- Create and maintain Smartsheets to track projects, processes, and departmental workflows.
- Assist in developing and refining office processes to improve efficiency.
- Organize and clean up shared electronic files to ensure consistency and accessibility.
- Support team members and management with administrative tasks and projects as assigned.
- Perform general office duties, including photocopying, scanning, and mailing.
Required Qualifications
- High school diploma or equivalent;
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic computer skills.
- Strong organizational skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to prioritize, multitask, and manage time effectively.
- Positive attitude, willingness to learn, and team-oriented mindset.
Preferred Qualifications
- Associate degree or some college coursework preferred.
- Previous office or customer service experience (internships or part-time work acceptable).
- Familiarity with office equipment (printers, copiers, scanners).
- Basic design skills or experience using Canva, Publisher, or similar software for creating flyers and brochures.
- Experience with Smartsheet or similar project management tools.
