Dean Mead is seeking a full-time Administrative Assistant, based out of our Viera office. Responsibilities

  • Work closely with the Office Administrator on a variety of administrative tasks, including front office reception duties (answering/directing phone calls and greeting in-person visitors).
  • Complete a wide variety of office services tasks (scanning, faxing, copying, filing, and processing mail).
  • Inventory and order office and hospitality supplies.
  • Make external runs on behalf of the firm using a personal vehicle (mileage reimbursed).
  • Maintain conference room calendars, ensure rooms are stocked, and coordinate technology needs with the Firm’s IT personnel.
  • Arrange catering for office events, including setup and cleanup.
  • Maintain kitchens and supply rooms, including inventory of supplies.
  • Field facilities service requests and follow up as needed.
  • Support attorneys and other legal staff as assigned by the Office Administrator.
  • Enter attorney time entries and other requests into accounting software; maintain electronic and physical files.
  • E‑recording of legal documents and assist in real estate pre- and post-closing tasks.

Qualifications

Education and Experience

  • Minimum high school diploma or GED (Required).
  • Minimum of 2+ years’ relevant administrative experience (Required); experience in a legal setting is preferred.
  • Proficient in Microsoft Office Suite and PDF (Required).

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 30 pounds at times.

Work Environment

  • This position reports to work in-person at our Viera office.

Job Details

  • FLSA Classification: Non-exempt
  • Schedule: 37.5 hour work week, Mondays through Fridays during office hours.
  • Reports to: Office Administrator; Managing Shareholders
  • Supervisory Responsibilities: None
