Overview

The Administrative Assistant is directly responsible for executing all support service functions to ensure that the Case Management department is functioning at the highest capacity possible. They provide support to the Director and supervisors on the daily operations of the program. SCS operates a hybrid work model with three days in the office and two days remote.

Responsibilities

  • Oversee all support service functions, ensuring that correspondence reports, file systems, inventory, ordering supplies, and other related functions are performed on a timely basis and in accordance with departmental requirements.
  • Perform support and clerical duties including reception, message taking, returning calls to clients, typing, inputting worker logs, photocopying, scanning, filing, faxing, correspondence and other related functions.
  • Disseminate information promptly within the department and to other departments as required.
  • Coordinate and execute all data entry transactions e.g. enter the date and reason why clients were terminated from the program into Salesforce, and retrieval of regular monthly and intermittent reports from VIVE to be submitted to fiscal department.
  • Assume responsibility for responding as follow up when a meals recipient does not respond to a meal delivery, i.e. client tracking and follow through emergency protocol procedures.
  • Communicate with meal provider daily through phone, email and/or fax.
  • Write case notes and record calls and requests from clients regarding services into client’s file in VIVE.
  • Train and aid office support staff in the Case Management program.
  • Participate in training and conferences and agency meetings.
  • Ensure the privacy and confidentiality of all data in clients’ files.
  • Plan with supervisors/Director to determine support needs of the program.
  • Always maintain standards of agency, treating clients and agency staff with respect and dignity.
  • Work closely with Care Connections to ensure accurate data entry, transcribe voicemails, conduct preliminary screening calls, refer to external resources, and maintain up-to-date information on programs, policies, and procedures.
  • Archive closed cases and client charts that are no longer in use.

Qualifications

  • High school diploma or GED required; bachelor’s degree preferred.
  • Excellent organizational and computer skills.
  • Good interpersonal skills with ability to establish rapport with staff, clients, and other community/government agencies.
  • Bilingual English/Spanish preferred.

$43,000 – $45,000
