Schedule: Monday to Friday, 7:00 AM – 4:00 PM
Location: Emerson Hall
Orientation & Training: 4–6 weeks
Work Arrangement: This role has potential for a hybrid schedule, depending on team needs and performance.
Position Overview
We are seeking a detail-oriented and proactive individual to provide essential administrative and technical support to our leaders and teams. This role plays a key part in ensuring smooth operations by managing calendars, coordinating meetings and travel, processing invoices, and responding to inquiries. The ideal candidate will work independently with basic guidance and thrive in a dynamic team environment.
In addition to administrative duties, this role supports patient communications by:
- Answering and returning calls promptly
- Scheduling clinic appointments and surgeries, including pre-op and post-op testing
- Preparing documentation for new patient visits (e.g., scans, office notes)
- Maintaining the surgeon’s Outlook calendar in alignment with Cerner scheduling
- Responding to Cerner messages in a timely manner
- Drafting correspondence and completing FMLA documentation
- Forwarding clinic notes to primary care or referring physicians
- Providing cross-coverage for other assistants
- Communicating clearly and consistently with the surgeon
Key Responsibilities
- Manage schedules and calendars for team leaders
- Coordinate meetings and travel arrangements
- Process invoices and expense reports
- Respond to internal and external inquiries
- Provide general administrative and technical support
- Troubleshoot basic issues as they arise
- Support patient scheduling and documentation
- Maintain calendar alignment between Outlook and Cerner
- Handle Cerner messages and FMLA paperwork
- Draft letters and clinic notes; forward to referring providers
- Provide cross-coverage for other assistants
Qualifications
- Education: High School Diploma or GED required
- Experience: 0–3 years of relevant experience; prior administrative experience preferred
- Preferred Experience: Experience in a matrixed organization or complex work environment
- Skills:
- Basic proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)
- Strong organizational and communication skills
- Ability to manage multiple priorities independently
