Overview

Receptionist role at ACCO Engineered Systems. Under the daily direction of Leadership this role supports the assigned group with office operation administrative tasks.

Essential Duties & Responsibilities

  • Document control (new hire/personnel files/training logs/certificates/etc.).
  • Maintaining various Google Sheets & Excel-based workbooks.
  • Cross-train to assist and backup administrative tasks as needed.
  • Create, edit, sort and assemble project specific folders/documents as directed.
  • Send and receive correspondence via U.S. mail, Tricor, messenger, U.P.S., Federal Express, etc.
  • Office printing and external printing orders with ACCO printing service vendors.
  • Assist in making travel arrangements for the department.
  • Assist with the scheduling of meeting spaces as well as ordering lunches or other needed preparation activities for meetings as needed.
  • Assist with client lunches & learns, presentation preparation and marketing events.
  • Word-processing, general correspondence, office memos and notifications.
  • Help onboard new hires (ordering business cards, uniforms, supplies, etc.).
  • Keeps track of location personnel to accurately notify them of calls, visitors, etc.
  • Receptionist duties such as answering the telephone in a prompt, friendly, pleasant & professional manner; forward calls to the appropriate person; and transfers to after-hours on-call service as needed.

Position Requirements (Skills, Work Experience, Education, Certifications, Licenses, Etc.)

  • Collaborate with the Facilities supervisor and notify of building maintenance items (janitorial, pest control, phones, printers, etc.), building repair requests, access to secure areas including keys, sign-in/out sheets.
  • Monitor and order office supplies (stationery, paper, printer supplies), kitchenette items, and other office consumables as needed.
  • Partner with Facilities to maintain Key fob management for the Commerce office.
  • General clerical duties include filing, typing, scanning, photocopying, faxing, sorting and distributing incoming mail and messages.
  • Maintain awareness of location of personnel in the office to notify them of calls and visitors.
  • Act as ACCO's “Director of First Impressions”: greeting visitors, answering calls, and directing callers professionally in line with the ACCO brand.
  • Receptionist duties such as answering the telephone promptly and professionally.
  • Forwarding calls to the appropriate person or department; transferring after-hours calls to the on-call service as needed.

Work Experience / Skills Requirements

  • Extensive computer knowledge.
  • Microsoft Office including MS Word and MS Excel; familiarity with Google applications (Gmail, Google Calendar, Google Docs).
  • Able to utilize handheld devices and online applications (e.g., FedEx deliveries and ordering).
  • Well organized; able to multitask; team-oriented; good written and verbal communication skills.
  • Experience in contracting or construction fields preferred, but not required.
  • One year of Receptionist and office administrative assistance or equivalent preferred.
  • Strong customer service skills with internal and external customers.
  • High School Diploma (or equivalent) required.
  • Punctuality is essential to the successful execution of this position.

  • Occasionally reach above shoulder height to access storage cabinets and mail cubicles.
  • Regular attendance with occasional mandatory overtime as required.

Hours

Monday through Friday, beginning between 6:00 am and 7:00 am and ending between 4:00 pm and 5:00 pm, with one hour for lunch. Eight hours per day required; occasional overtime may be necessary.

Compensation

Competitive Wages: $17.00 to $23.00 per hour. Actual compensation determined by factors including skills, experience, certifications, and location.
