Job Summary
The Human Resources Coordinator is an integral member of the Human Resources team and People Division. Under the direction of the Director of Employee Relations, with a dotted line to the Human Resources Operations Manager, this role manages logistical and administrative backend activities of employee onboarding, learning, compliance, and reporting.
Job Type: Full-Time (40+ hours per week)
Reports To: Director of Employee Relations
Location: Sheboygan, WI
Job Responsibilities
- Provides administrative support to the Chief People Officer and Director of Employee Relations
- Gathers and files all paperwork related to new hires and existing employees, including offer letters, background check authorization forms, and non-disclosure agreements
- Distributes policies, passwords, and guidelines in various technology systems for new and existing employees
- Assists with coordination, preparation, and distribution of employee documentation as requested
- Maintains oversight of Vista Care learning management system and related reporting requirements
- Assists in creation of learning activities and classes as requested by leadership
- Maintains and provides accurate reporting of various metrics as requested by Vista Care leadership
- Ensures personnel files for all new hires are completed timely and in compliance with state, local, and industry requirements
- Completes audits of employee files regularly to ensure compliance with regulatory requirements, and assists operations and the People Division with audits or surveys by state authorities and/or funders
- Adheres to Vista Care policies and procedures and maintains confidentiality
- Collaborates with other HR and People Division team members
- Performs other duties as assigned by Leadership
Skills/Abilities
- Ability to work professionally with all levels of employees and management
- Ability to understand technical concepts and explain them simply
- Ability to troubleshoot, identify improvements, and make independent decisions
- Strong attention to detail with the ability to prioritize and handle multiple tasks
- Team player with a results-driven approach and the ability to work with limited guidance
- Strong interpersonal and communication skills, including active listening
- Proficiency in Google Suite and Excel
- Experience with HR systems and applicant tracking systems (e.g., UKG/Paycor Recruiting) and HR capital management systems
Qualifications
- Must be 18 years or older
- High School Diploma or equivalent required
- Bachelor’s Degree preferred
- 1-3 years of experience in Human Resources, Recruiting, and/or Employee Onboarding preferred
Physical Requirements
- Onsite work in Vista Care corporate office environment
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 15 pounds occasionally
- Office setting requiring sitting and standing at a desk, in-person and phone communication, and use of standard office equipment
- Regular and prompt attendance required
