Position Title: Executive Administrative Assistant to the CEO

Position Summary: We're seeking a highly organized, proactive Executive Administrative Assistant to support our CEO. This role is the CEO's right hand: you'll manage complex schedules, facilitate communication across internal and external stakeholders, and ensure smooth execution of high priority projects. You thrive in a fast paced environment, exercise impeccable discretion, and have a passion for keeping leadership operating at peak efficiency.
Key Responsibilities:
Calendar & Travel Management
Coordinate the CEO's daily calendar, prioritize meetings, and resolve scheduling conflicts.
Arrange complex domestic and international travel itineraries, including flights, ground transportation, and accommodations.
Communication & Correspondence o Serve as the primary gatekeeper for all incoming communications—calls, emails, and meeting requests.
Draft, proofread, and distribute executive level memos, presentations, and reports.
Meeting & Event Coordination o Prepare agendas, presentation decks, and briefing materials for board meetings, investor calls, and leadership offsites.
Attend meetings, capture action items, and follow up to ensure timely completion.
Project Support & Research
Assist with special projects—market research, vendor evaluations, and business development initiatives.
Compile data, create executive summaries, and track project milestones.
Stakeholder Liaison
Build and maintain relationships with clients, partners, and internal leadership teams.
Coordinate cross functional collaboration and ensure alignment on priorities.
Office & Administrative Management
Oversee executive office supplies, budgets, and vendor relationships.
Ensure compliance with corporate policies and maintain confidentiality of sensitive information.
Required Qualifications:
Bachelor's degree or equivalent experience.
Minimum of 5 years' experience supporting C-level executives, preferably in a technology or consulting environment.
Exceptional written and verbal communication skills.
Proven track record of managing complex calendars and travel logistics.

Strong interpersonal skills; able to interact professionally across all levels.
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools (e.g., Zoom, Slack, Asana).
Working Conditions:
Fulltime, onsite or hybrid work arrangement based in our Cornelius, NC office.
Occasional early mornings, evenings, or weekends may be required to accommodate executive schedule and events.
