Days Per Year: 226 Min: $62,828 Mid: $73,911 JOB TITLE: Executive Assistant to the Superintendent REPORTS TO: Superintendent WAGE/HOUR STATUS: Nonexempt PAY GRADE: Para 11 PRIMARY PURPOSE: The Executive Assistant to the Superintendent is responsible for the daily operation of the district as well as the planning, implementing, directing and maintaining of District programs by providing a wide variety of complex and confidential executive administrative and secretarial support; analyzing requests and providing recommendation for action; communicating information on behalf of the Superintendent to staff, other districts and public agencies. Qualifications: Required:

Bachelors Degree from an accredited college/university Three yearsaccounting/auditingexperience Five years of progressively responsible executive administrative and secretarial work experience, including at least two years providing support to senior and/or executive level public school administration Preferred: Certified Internal Auditor (CIA), Certified Fraud Examiner (CFE), Certified Risk Management Assurance, (CRMA), Certified Government Auditing Professional (CGAP) or Certified Public Account (CPA) designation. Three years accounting/auditing experience in a school district, governmental or non-profit SPECIAL KNOWLEDGE/SKILLS: Knowledge of generally accepted accounting principles (GAAP), the Institute of Internal Auditor's Code of Ethics, and Texas Education Agency standards for financial accounting and Knowledge of school fund accounting and policies and procedures. Strong skills in conducting reviews and preparing written documentation in response to inquiries and Expertise in gathering, organizing, analyzing and interpreting financial data, utilizing various statistical techniques, applying concepts to assist in formulating conclusions and developing recommendations and SkillfulinoperatingMSOffice(Word,Excel,Access,Powerpoint) Ability to maintain objectivity when auditing a campus, department, or program. Ability to maintain confidentiality of privileged and sensitive Ability to manage multiple complex tasks and projects simultaneously and independently to meet Demonstrated ability to communicate effectively, both verbally and in writing, utilizing professionalism, poise, tact and Ability to maintain effective working relationships with a wide variety of District and external personnel, outside organizations, elected officials, and the general MAJOR RESPONSIBILITIES AND DUTIES: Ability to use initiative and independent judgment within established policies and procedural guidelines. Prepares reports, develop drafts, prepares final correspondence and reports by collecting and analyzing information and then distributes as directed by the Superintendent. Secures information by completing data base backups Receive and screen communications to superintendent including telephone calls, mail and e-mail messages, and provide independent judgment to determine those requiring priority attention; research and respond to communications as appropriate. Preparation and development of the Executive Leadership Team Meeting to include electronic agendas and meeting logistics. Preparation and development of Superintendent's Advisory Committees to include agendas and meeting logistics. Maintains superintendent's professional schedule, and provide reminders as appropriate by scheduling meetings, conferences, teleconferences, and travel. Prepare superintendent for speaking engagements to include logistics, presentations, and program appearance. Coordinate and organize meetings, including notification to prospective attendees, set-up pre- and post meeting correspondence, meeting records, and any required follow up. Responsible for registering the superintendent at various meetings, conferences, seminars and making travel arrangements for conferences/seminars and maintaining records of trip expenses. Travel with, and for, superintendent when needed. Building and managing both electronic and paper filing systems, as well as taking steps to maintain state compliance with all applicable record-keeping requirements. Act as liaison between superintendent and departments or the public, and represent and communicate issues and directives. Development and monitoring of the budget of the Superintendent's Office and the Internal Auditor's Office. Maintain the Superintendent's Petty Cash Account, to include submitting the petty cash report. Prepares all purchase requisitions, work orders, and fixed assets reports. Serves as liaison between the Superintendent's Office and the departmental/school secretaries. Prepares the payroll transmittal (Daily Absence Report) for Superintendent's office and direct reports. Maintains professional and technical knowledge by attending educational worships; reviewing professional publications; establishing personal networks, participating in professional societies. Serves as a resource person for proofreading and editing. Greeting guests and respond to incoming telephone calls, including answering questions from public, outside agencies and staff.

Assists the Internal Auditor when directed.
