Position Overview
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support the CEO (and senior advisor) of our firm. This role is critical in ensuring seamless client service, efficient practice management, and administrative excellence. The ideal candidate will be a self-starter with strong communication skills, the ability to manage multiple priorities, and a keen eye for detail. This position is full-time and in-office.
Key Responsibilities
Client Support & Communication
Serve as the primary point of contact for clients, addressing inquiries, scheduling meetings, and ensuring an exceptional client experience
Prepare meeting materials, financial reports, and follow-up correspondence
Take detailed meeting notes
Assist with onboarding new clients and maintaining ongoing relationships
Administrative & Operational Support
Manage the advisor's calendar, coordinate client meetings, and handle any necessary travel arrangements.
Process account paperwork, service requests, and compliance documentation in a timely manner.
Maintain accurate client records in CRM systems and ensure regulatory compliance.
Support daily office operations, including correspondence and expense reporting.
Advisor Support
Anticipate the advisor's needs by proactively organizing workflows and managing priorities.
Assist with project management, including marketing initiatives, client events, and business development efforts.
Prepare summaries of financial reports, investment research, and client account activity as needed.
Assist with the onboarding of new advisors to our firm.
Qualifications
Bachelor's degree preferred; relevant experience in financial services strongly considered.
Prior experience supporting financial advisors, wealth managers, or executives preferred.
Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment.
Excellent written and verbal communication skills with a high degree of professionalism.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with financial CRM systems is a plus (Fidelity, Charles Schwab, Raymond James, Salesforce, Black Diamond).
High attention to detail, discretion, and ability to maintain confidentiality.
Series 65, or willingness to obtain.
