Position Summary
We are seeking a highly organized and tech-savvy Executive Assistant to provide high-level administrative and operational support to the Executive Director and leadership team. This role is central to ensuring smooth day-to-day operations and effective coordination across departments. The Executive Assistant will play a vital role in supporting NADEC's mission while enabling organizational efficiency.
Key Responsibilities
Executive & Administrative Support
Provide direct administrative support to the Executive Director and senior leadership.
Manage complex calendars, schedule meetings, and coordinate virtual trainings.
Arrange travel logistics, including flights, lodging, and itineraries.
Draft and prepare correspondence, reports, and presentations.
Project & Grant Support
Support grant and training projects through document preparation, tracking deliverables, and scheduling.
Assist with data entry, formatting, and presentation design in Microsoft Office Suite.
Provide administrative support for grant reporting and coordination.
Finance & Bookkeeping Assistance
Assist with invoices, accounts receivable, and light bookkeeping duties.
Support the Finance Manager with QuickBooks processes as needed.
Technology & Systems Support
Act as a technology liaison, supporting leadership with digital tools and virtual meetings.
Maintain digital files, folders, and project documentation within OneDrive and SharePoint.
Cross-Departmental Collaboration
Partner with Operations, HR, Finance, and Training teams on administrative and project support.
Contribute to organizational efficiency by streamlining processes and supporting staff as needed.
Qualifications
Minimum 5 years of experience in executive support or administrative roles.
Strong proficiency with Microsoft Office Suite (Excel, PowerPoint, Word) and cloud platforms (SharePoint, OneDrive).
Demonstrated tech-savviness and ability to assist others with IT/software navigation.
Excellent organizational, multitasking, and communication skills.
Experience with QuickBooks and invoicing/accounts receivable preferred.
Prior remote work experience supporting geographically dispersed teams.
Work Environment
Fully remote role from anywhere in the US, with core hours aligned to CST or MST.
Standard 40-hour workweek with occasional evening or weekend commitments.
