Job Summary
The receptionist position includes all functions related to receiving calls, clients, vendors, deliveries and faxes, and directs them to the appropriate individual(s) within the firm according to established policies and procedures. Maintains contact with all office personnel. Observes confidentiality of client and firm matters. Represents first line in office security. Must have a "can-do" positive attitude; be detailed-oriented, flexible and have a concern for the appearance, and operation of the office and support the success of the attorneys.
Essential Functions
- Welcome clients, vendors and visitors to the office in a professional manner and notify the appropriate parties of their arrival; maintains visitor log as requested.
- Opens the office every weekday.
- Answers all in-coming calls to the main phone line and directs calls appropriately.
- Delivers incoming faxes to attorneys and assistants.
- Light typing, including data entry.
- Schedules conference rooms and visiting offices in coordination with administrative staff.
- Maintains calm in the event of hostile and/or difficult situations and administers the appropriate use of emergency procedures.
- Sorts incoming mail and deliveries.
- Delivers afternoon mail to postal carrier.
- Verifies the timely delivery of all overnight packages sent out by office personnel the previous day and ensures prompt notification to the sender of any failed deliveries.
- Arranges ground transportation for attorneys and/or clients as requested.
- Arranges catering and individual meal orders for meetings as requested and sets up conference rooms for meetings in coordination with administrative staff.
- Assists with other projects as requested (i.e., mailings, labels, typing, entering attorney time).
- Prepares check requests and other reimbursement forms as requested.
- Tracks office supply inventories. Responsible for replenishing supplies in a timely manner.
- Tracks marketing material inventory and prepares marketing brochures for speaking engagements.
- Scans/Copies documents for uploading to the document management system as requested.
- Maintains copiers (paper and toner) on a daily basis.
- Maintains and updates periodicals in library.
- Interface with building and parking management, engineering personnel, and security.
- Assists with overall office appearance.
- Performs errands and other duties as needed.
- Between one and three years as a receptionist in a law firm or client-service organization.
- Ideal candidate must be a pleasant, professional and tactful individual with ability to operate a multiple-line telephone console and greet clients, vendors and visitors.
- The ideal candidate will have excellent written and oral communication skills, as well as the ability to multitask and prioritize.
- Ability to work independently with little supervision.
- Organized, with attention to detail and excellent follow-up skills.
- Excellent written and oral communications skills with a willingness to learn and take on responsibility.
- Punctual with excellent attendance.
- Must have a courteous and can-do attitude and be reliable, professional, with excellent teamwork skills.
- Knowledge of Microsoft Outlook, Word, basic Excel required.
Educational Requirements
High School Diploma or equivalent required.
For New York, the expected hourly range for this position is between $25.00 and $30.00. The actual compensation will be determined based on experience
and other factors permitted by law.
