Job Description Salary: Depending on experience Little Land Pediatric Therapy and Recess Pediatric Therapy are seeking a compassionate and detail-oriented New Patient Intake Specialist to guide families through the onboarding process for therapy services. This role is responsible for managing new patient intakes, coordinating referrals, ensuring all required paperwork is completed, and providing families with the information they need to begin therapy successfully.
Our primary services include pediatric Occupational Therapy (OT), Speech Therapy (ST), Physical Therapy (PT), and Applied Behavior Analysis (ABA). The Intake Specialist ensures families have a positive, educational, and supportive onboarding experience, setting the foundation for successful therapy outcomes.
Key Responsibilities
Patient Intake & Onboarding Serve as the primary contact for new patients and their families during the onboarding process. Manage referrals from physicians, pediatricians, schools, and community partners. Coordinate scheduling of initial evaluations and ensure timely follow-up. Ensure accurate entry of patient information into the EMR system.
Paperwork & Documentation Collect, review, and process all required intake forms and insurance documentation. Verify accuracy and completeness of patient records. Communicate clearly with families regarding policies, procedures, and next steps. Maintain compliance with HIPAA and organizational privacy standards.
Family Communication & Education Provide families with clear, compassionate explanations of therapy services, scheduling processes, and plan of care expectations. Act as a trusted resource to answer questions and ease concerns during the transition into services. Ensure families feel welcomed, supported, and confident in the care process.
Team Collaboration Work closely with the Scheduling and Client Services team to ensure smooth patient handoff into therapy services. Partner with the Billing and Authorization teams as needed to ensure insurance and payment requirements are addressed. Collaborate with Clinical Leadership to align intake scheduling with provider availability and treatment planning.
Qualifications Education & Experience: High school diploma required; associate or bachelors degree preferred. 2+ years of experience in healthcare administration, patient services, or pediatric therapy support. Experience with patient intake, referrals, or scheduling highly preferred.
Skills & Competencies: High energy and ability to create a positive, welcoming environment for families. Excellent verbal and written communication skills. Compassionate and empathetic approach to family support. Strong organizational skills and attention to detail. Ability to work collaboratively as part of a team. Familiarity with EMR systems, scheduling software, and Microsoft Office.
