Office Manager / Clinic Coordinator Position Overview: The Scheduling Coordinator is the first point of contact for our patients and plays a key role in ensuring a smooth and welcoming experience. This role is responsible for managing the schedule, supporting front desk operations, and maintaining excellent communication with patients and the orthodontic team. Responsibilities: Greet patients warmly in person and on the phone, creating a positive first impression.

Answer and manage incoming calls promptly, assisting with questions, appointment changes, and follow-ups.

Schedule, confirm, and coordinate appointments for new and existing patients.

Manage scheduling software to maintain accurate and up-to-date records.

Confirm appointments via phone, email, or text and follow up on missed or unconfirmed visits.

Assist with check-in and check-out processes, patient paperwork, and updating charts.

Support front office and clinical team with daily administrative tasks.

Handle patient information in accordance with HIPAA and office policies.

Qualifications: High school diploma or equivalent required.

Strong communication and customer service skills.

Detail-oriented with excellent organizational skills.

Ability to multitask in a fast-paced environment.

Proficiency with computers, scheduling systems, and phone systems.

Previous dental or orthodontic front office experience preferred.
