Salary: $45,000.00 - $60,000.00 per year
Position Details
Reporting to the Operations Manager, the Administrative Assistant plays a vital role in ensuring the ongoing efficient operations of the Rogers location while supporting other sites as required. Responsibilities include coordinating Corporate Services activities on-the-ground and supporting the executive team as needed. The role requires high organization, strong communication, collaboration, attention to detail, and the ability to multi-task.
Key Responsibilities
- Front-line customer service; act as first point of contact at the Rogers location for visitors.
- Answer and route incoming calls; resolve inquiries as able.
- Collect and distribute facility mail and packages.
- Retrieve information from records, emails, minutes, and related documents; prepare summaries as needed.
- Respond to and resolve internal administrative inquiries.
- Prepare agendas, schedule meetings, and arrange spaces; coordinate external vendors as needed.
- Record and distribute meeting minutes as required.
- Coordinate travel, lodging, meetings, and appointments as assigned.
- Coordinate meals and transportation for contractors and visitors; pickup and delivery as needed.
- Coordinate maintenance of office equipment and monitor supplies such as copier toners.
Minimum Qualifications
College Diploma in business administration or related field with three (3) years of related experience, or equivalent combination of education, training, and experience.
- Excellent organizational skills and attention to detail
- Excellent interpersonal and customer service skills
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite or related software
- Ability to manage sensitive and confidential situations with tact and diplomacy
- Strong understanding of clerical procedures and systems such as recordkeeping and filing
- Ability to work independently and collaboratively
- Must have a valid driver’s license and reliable transportation
Salary
Salary Range: $45,000 to $60,000 annually
