(Part-time) Administrative Professional II (Substitute/Temporary) Inside Higher Ed Responsibilities
Office support professional who performs a wide variety of complex and highly responsible administrative functions in support of day-to-day operations, programs, and procedures within the assigned area. Organizes and coordinates workflow and office support to relieve the assigned administrator of routine administrative details not requiring immediate attention. Directs, oversees, and reviews the work of student assistants and other classified support staff as assigned. Use initiative, organization, problem solving, and independent judgment in processing work within the assigned area. Effectively communicates and interacts with faculty, staff, and students. Exercise independent judgment; relieve assigned administrator of routine administrative actions not requiring immediate attention. Prepare correspondence, memoranda, reports, center and advisory committee minutes, and other materials. Participate in and/or coordinate the preparation, checking, compiling, and recording of data and information. Prepare and proofread materials such as interoffice communications, requisitions, forms, letters, reports, statistics, curriculum projects, classroom and instructional assignments, and specifications from rough draft or verbal instructions. Assist in preparing area budget including monitoring grants and maintaining detailed records; keep records of expenditures, budget accounts and running balances. Serve as information source regarding area policies, procedures, and requirements; receive and interview callers and provide information, referring matters to proper staff as appropriate. Arrange and schedule appointments and meetings; notify participants, confirm date and time, reserve meeting sites and prepare materials. Assist with developing class schedules and catalog information related to area activities and services in collaboration with instructors, dean, and instructional services. Collect and handle incoming money and receipts for special projects. Receive, handle, and process confidential information and requests, maintaining security and confidentiality. Maintain accurate and detailed calendars of events, due dates, and schedules related to the assigned area. Receive, review, and verify documents, records, and forms for accuracy and compliance with applicable rules and procedures. Receive, sort, and distribute mail; prioritize and respond to correspondence as directed. Develop or assist in developing office operating procedures, forms, worksheets, and record-keeping systems. Make travel arrangements. Direct, train, and monitor student assistants; supervise and oversee the work of others in lead capacity. Participate in campus committees and events. Perform other related duties similar in scope and function as assigned. Knowledge and Abilities
Microsoft Office Suite; use of applications on the District-issued computer. Interpersonal skills with tact, patience, and courtesy. Proper office methods, including filing systems, business correspondence, receptionist techniques, report writing, and telephone techniques. Basic accounting principles and requirements. Correct English usage including grammar, punctuation, vocabulary, and spelling. Compile and maintain the security of confidential information. Learn operations, procedures, policies, and requirements of the assigned area and apply with good judgment. Understand and execute a variety of oral and written instructions independently. Prioritize, direct, and coordinate workflow within the assigned area. Learn and utilize computer software as assigned; type accurately at a rate sufficient for job performance. Establish and maintain a variety of records and filing systems including accounting records. Work independently with minimal supervision; meet established deadlines. Operate standard office equipment (computer, printer, calculator, copier, etc.). Communicate effectively in oral and written forms; supervise and train student workers as assigned. Establish and maintain effective work relationships with contacts in performing duties. Experience/Education
Education Required: Associate degree or equivalent education and experience. Experience Required: Two years of increasingly responsible administrative professional experience or equivalent; demonstrated sensitivity to diverse backgrounds of staff and students and to individuals with disabilities. Experience Preferred: Knowledge of or experience in an educational institution or comparable setting, and/or equivalent. Additional Information
