Responsibilities
- Provide secretarial/clerical services to one or more directors (or a management team) in an assigned area under minimal supervision. This may include managing calendars for one or more leaders and preparing and typing a variety of correspondence and records.
- Receive and direct internal and/or external customers; maintain and update files; gather data; and prepare recurring and special reports.
- Handle additional responsibilities that are more technical in nature, including auditing data/reports and assisting Managers/Directors in updating and maintaining assigned budgets; complete additional special projects as assigned.
- Maintain confidentiality of the organization and all customers; demonstrate competencies for populations served when providing direct patient care (as applicable).
- Complete a variety of duties such as transcription, processing invoices and purchase requisitions, travel arrangements, meeting planning, and creating/typeing correspondence, agendas, memos, forms and reports. Depending on the area, may require knowledge of medical or other special terminology.
- Operate standard office equipment; develop and maintain spreadsheets/databases; input, track statistics, monitor activities, and generate regular and recurring reports.
- Manage director/staff schedules, arrange appointments, and communicate schedule changes effectively; handle phone calls and messages; provide information or direct callers as needed.
- Communicate professionally in writing and orally with proper English grammar, spelling and punctuation; proactively manage schedules and coordinate calendars for various departments.
- Perform department-specific tasks such as preparing materials, inputting data, processing payroll transactions, coordinating educational functions, and managing department calendars.
Department-specific duties
- Security: assist with scheduling, meeting minutes, training, planning and dispatch as needed.
- Center for Learning: schedule training activities (including BMS implementation events), prepare training materials, coordinate room arrangements, manage CEU requirements, distribute surveys post-training, assist with onboarding of new team members, maintain calendars and shared materials, and support HVN activities.
Qualifications
- High school diploma or GED and 3-5 years of general office experience required.
- Associate’s degree preferred.
- Proficiency with multiple standard software applications (Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, Internet) and a keyboarding speed of 65 WPM (skills tested through HR at an acceptable level).
- Excellent interpersonal communication skills with the ability to independently make decisions; dependable with strong interpersonal skills.
- Ability to stay focused with multiple distractions and work cohesively with a team in high-stress situations.
- Strong decision-making and problem-solving abilities; effective time management and the ability to prioritize workload; self-directed.
- Ability to adapt and maintain effectiveness when new information or situations arise.
- Additional knowledge of general or specific medical/technical terminology may be required for certain departments.
Physical/Work Environment
- May involve mental/visual fatigue from detailed tasks and extended computer use (40-70% of the time).
- Job requires regular walking, standing, stooping, bending, sitting, and some lifting of light objects.
- Duties vary by department of assignment.

- Shift: First Shift; Time Type: Full time; Scheduled Weekly Hours: 40.
