Administrative Assistant / Office Receptionist
Schedule: Monday–Friday, 8:30 AM–5:30 PM (flexibility required for 7:00 AM–4:00 PM and 8:00 AM–5:00 PM shifts as needed)
About the Role
We’re seeking a highly organized, detail-oriented Administrative Assistant / Receptionist to join our team full-time and in person. This role is central to keeping our office running smoothly, managing day-to-day operations, and supporting our corporate services and real estate functions. Key Responsibilities
Administrative & Reception
- Manage the reception desk: phones, guest check-ins, visitor scheduling.
- Coordinate conference room bookings and catering needs.
- Handle incoming/outgoing mail, courier services, and package distribution.
- Track accounts payable items and process invoice submissions.
- Support event planning, visitor logistics, and internal calendar management.
- Liaise with facilities vendors to ensure office safety, compliance, and appearance.
- Act as on-site liaison for the Global Head of Real Estate.
- Coordinate with building management on utilities, maintenance, and vendor services.
- Oversee office moves, seating arrangements, and space management.
- Maintain floorplans and seating charts using WISP/OfficeSpace.
- Run reports and present seating scenarios for approval; diplomatically resolve conflicts.
Office Services
- Order, stock, and manage office, kitchen, and bathroom supplies.
- Oversee vendor deliveries, shipping, and courier needs.
- Schedule preventative maintenance and coordinate repairs with vendors/building engineers.
Employee Support & Onboarding
- Set up desks and supplies for new hires; manage employee ID cards (Kastle).
- Provide onboarding support and assist with cross-office initiatives.
- Support special projects, team events, and business-wide functions.
- Partner with the global team on firmwide events and initiatives.
- Participate in monthly team meetings.
- Leverage Microsoft Office, OfficeSpace, and internal systems to support operations.
Qualifications
- Proven administrative, receptionist, or office management experience.
- Strong organizational skills and the ability to multitask effectively.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite; familiarity with OfficeSpace/WISP is a plus.
- Professional, reliable, and adaptable to changing needs.
