HAIL Partners is working with a global PE firm who are expanding their New York office and bringing in their first Admin support. This is an exciting opportunity for a Receptionist / Administrative Assistant to join a fast paced, Private Equity firm based in New York. This role will be both managing the front desk, as well as providing Executive Administrative Support to 5 Executives.
Responsibilities:
- Serve as the first point of contact for all visitors and clients, providing a warm and professional welcome.
- Prepare and set up conference rooms ahead of meetings.
- Coordinate visitor sign-in/out procedures and maintain security protocols.
- Support the organisation of in-office meetings, including catering and refreshments as required.
- Maintain and restock office and kitchen supplies to ensure the team is fully equipped.
- Provide administrative support to 5–6 Executives.
- Manage complex calendars, schedule meetings, and coordinate changes efficiently.
- Prepare meeting agendas, take minutes, and follow up on action points as required.
Requirements:
- Minimum 1+ year of reception/front of house experience.
- Previous Administrative Assistance experience would be advantageous.
- Polished and professional approach to work.
- Highly organised with strong attention to detail.
- Happy to be onsite 5 days a week.
This position is paying a base salary of $90,000 - $100,000 + discretionary bonus. The firm also offers 5 weeks PTO.
