We are looking for an Administrative Specialist II who will provide administrative support to the Early Learning Operations Unit, as well as provide technical support and expertise to DEEL staff and subcontractors on the Early Childhood Education Assistance Program (ECEAP). This position reports to the Early Learning Operations Manager. Responsibilities
Supporting the creation and maintenance of outreach materials for ECEAP Parent Policy Council and child recruitment. Answering phone and email inquiries about ECEAP enrollment and supporting families in accessing providers and enrollment opportunities. Organizing and maintaining email lists for different contractor and partner groups. Creating, editing and maintaining routine correspondence, spreadsheets, presentations, documents, surveys, templates, forms, and agreements. Scheduling venues and interpreters, managing logistics, and ordering and coordinating food and beverages as needed for in-person meetings. Providing calendar and technical support and taking notes at all partner meetings and following up on action items. Participating in Department, Division, Unit, and Administrative staff meetings. Processing invoices and helping track expenditures. Maintaining electronic files and helping with routine data entry and manual filing systems. Supporting operations staff in scheduling professional development registrations/travel for training. Your Top 3 In This Role Will

Supporting the Early Learning Operations Unit with administrative tasks like invoicing, reimbursements, and electronic file maintenance. Maintaining audiometer inventory/equipment for child hearing screenings. You Will Be Responsible For The Following Annual Tasks
ECEAP recruitment mailer distribution. Audiometer calibration and replacement. Qualifications
You will be most successful with a combination of the following experience, skills, and abilities: Experience
Advanced experience with Microsoft Suite desired, especially Outlook, Sharepoint, Teams, Forms, Excel and Planner. Experience with event planning and meeting coordination. Some professional knowledge of early learning or childcare, especially experience with ECEAP. Familiarity with financial controls and processes like invoicing, transaction coding, light budget development. Skills
Fiercely detail-oriented and organized in your work. Providing excellent and culturally-responsive customer service experience. Proactive problem-solving with an interest in continuous quality improvement. Abilities

This civil-service position is eligible for overtime and is classified as an Administrative Specialist II-BU. The full pay range for this step-progression position is $35.61 to $39.87 per hour. New employees begin at Step 1 of the pay progression, which is $35.61 hourly. Current City employees starting rate of pay will be based on Personnel Rules regarding promotions. This position offers the flexibility of a hybrid work schedule. Employees are expected to be in-office 3 days per week. Individual schedules will be based on agreement between the employee and their supervisor and are subject to change. Interviews for this position are tentatively scheduled for the week of October 6, 2025. All interviews will take place virtually using Microsoft Teams.
