Job Description
Administrative Assistant needed immediately for an established company:
Responsibilities:
- Answering phones, taking messages, and directing calls to appropriate personnel.
- Greeting and assisting visitors and clients.
- Managing and maintaining office supplies, equipment, and facilities.
- Handling incoming and outgoing mail and packages.
- Coordinating appointments, meetings, and conference calls for executives or teams.
- Managing and updating calendars, ensuring that schedules are organized and efficient.
- Entering data into spreadsheets, databases, or other software applications.
- Maintaining and organizing electronic and paper files and records.
- Drafting, formatting, and proofreading emails, letters, memos, and reports.
- Managing and prioritizing email communications.
- Arranging meetings, including room setup, catering, and audiovisual equipment.
- Coordinating and organizing company events, conferences, and seminars.
- Creating and formatting documents, presentations, spreadsheets, and reports.
- Assisting with the preparation of business proposals and presentations.
- Tracking and reconciling expenses, receipts, and invoices.
- Preparing and submitting expense reports.
- Providing administrative support to various departments or teams.
- Assisting with special projects and tasks as assigned.
- Assisting with client or customer inquiries and requests.
- Maintaining positive relationships with clients and customers.
- Managing physical and digital filing systems.
- Ensuring documents are archived or disposed of according to company policies.
- Proficiency in using office software (e.g., Microsoft Office Suite, Excel, Google Workspace).
