About the Role:

The Administrative Assistant in Rehab Services plays a crucial role in ensuring the smooth and efficient operation of the rehabilitation department within a healthcare setting. This position is responsible for managing a variety of administrative tasks that support clinical staff and enhance patient care delivery. The successful candidate will coordinate schedules, handle patient communications, and maintain accurate records, thereby facilitating seamless interactions between patients, therapists, and other healthcare professionals. By managing documentation and assisting with billing and insurance processes, the Administrative Assistant helps optimize departmental workflow and compliance with healthcare regulations. Ultimately, this role contributes significantly to the overall patient experience and the operational success of the rehab services team.

Minimum Qualifications: High school diploma or equivalent required; Associate's degree or higher preferred. Minimum of 2 years of administrative experience, preferably in a healthcare or rehabilitation setting. Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office Suite). Strong organizational skills with the ability to manage multiple tasks and prioritize effectively. Excellent verbal and written communication skills. Preferred Qualifications:

Experience working specifically within rehabilitation services or physical therapy departments. Familiarity with medical billing and coding processes related to rehab services. Knowledge of healthcare compliance standards, including HIPAA and OSHA regulations. Certification as a Medical Administrative Assistant (CMAA) or similar credential. Ability to use specialized scheduling software and patient management systems. Responsibilities:

Manages the Director's schedule, coordinating meetings, appointments, and daily activities Assists in preparing reports and presentations. Help monitor performance metrics and assist in quality improvement activities. Serves as a communication hub between rehab nursing staff, therapists, physicians, and patient families. Manages supply inventory and places orders as requested. Completes typing, daily reports, and any other correspondence as directed. Handles incoming calls, emails and inquiries from staff, patients, and visitors. Takes accurate minutes of department meetings and distributes to appropriate people. Servs as a liaison for special projects, audits, or regulatory reviews. Pick up and distribute mail. Assists nursing supervisor with development of nursing schedule. Processes admissions, discharges, and transfers efficiently. Prepares accurate statistical reports on a daily, weekly, and monthly basis. Maintains office files according to the established procedure. Performs other duties as assigned.
