SUMMARY
The Executive Assistant provides direct administrative support to the Chief Executive Officer (CEO), helping manage priorities, streamline operations, and ensure seamless execution of daily business activities. The position is a highly visible, client, vendor and executive facing role. We are looking for a motivated individual with a team-orientated attitude who is highly organized and proactive.
DUTIES AND RESPONSIBILITIES Provide high-level administrative and operational support to the CEO and designated team members, ensuring alignment with strategic priorities and seamless execution of day-to-day operations Manage the CEO's calendar, including scheduling meetings, calls, travel, and industry events Prioritize and manage incoming requests, correspondence, and communications on behalf of the CEO Handle expense reports and office management tasks as required Prepare, edit, and maintain executive-level documents, presentations, and reports Maintain internal tracking databases; update information as needed to organize for efficient and accurate reporting Anticipate CEO needs and provide proactive solutions to optimize time and efficiency Provide quality service and support to CEO, other executives, clients, vendors, and fellow employees throughout Colliers Minneapolis office Assist in planning company events, conferences, and client functions Support special projects and initiatives as directed by the CEO Other duties and special projects as assigned EDUCATION AND EXPERIENCE
Bachelor's degree preferred, or equivalent relevant experience Minimum of 5+ years of executive support experience, ideally within a professional services environment QUALIFICATIONS
Advanced proficiency in Microsoft Office Suite required (Outlook, Word, PowerPoint, Excel) Familiarity with Adobe products preferred Excellent verbal and written communication skills required Exceptional organizational skills with the ability to manage priorities in a fast-paced environment Excellent attention to detail and ability to multi-task Ability to work independently while also collaborating effectively as part of a team High degree of professionalism, integrity, and discretion in handling confidential information Excellent customer service skills
JOB EXPECTATIONS
This is a full-time position. Workdays are Monday through Friday during standard business hours. Regular and reliable attendance is required.

Our compensation ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
