Position Overview
We are seeking a highly organized and detail-oriented
Administrative Assistant
with strong experience in supporting industrial and construction project management teams. This position serves as a liaison between Project Managers, Superintendents, departments, vendors, subcontractors, and clients, ensuring efficient communication and seamless administrative support for ongoing projects.
Key Responsibilities
Act as a primary liaison between Project Managers, Superintendents, subcontractors, vendors, clients, and internal departments.
Coordinate and oversee day-to-day project administration, including ordering/maintaining office supplies, processing expense reports, and managing incoming/outgoing mail.
Maintain and manage team calendars, including scheduling meetings, tracking vacation dates, offsite schedules, and site visits.
Create and maintain both electronic and paper filing systems to ensure accurate recordkeeping.
Process and track all project-related paperwork, such as:
Trade Subcontractor Invoices & Pay Applications
Certificates of Insurance (COI) and bonds
Onsite payroll documentation
Lien waivers and other vendor/subcontractor requirements
Assist in managing subcontractor workflow, including coordinating document review, approval processes, and compliance tracking.
Gather, review, and organize project-related documents to ensure accuracy and compliance with contract requirements.
Request and track subcontractor/vendor COIs, contracts, and supporting compliance documents.
Qualifications
Experience:
Minimum 2+ years in office administration or a related field (construction industry experience strongly preferred).
Education:
Associate’s degree preferred, or equivalent work experience.
Knowledge:
Familiarity with construction/industrial project workflows, contracts, and compliance requirements is a plus.
Skills:
Proficient in Microsoft Office Suite (Excel, Word, Outlook) and other relevant computer applications.
Strong organizational skills with keen attention to detail.
Excellent verbal and written communication abilities.
Ability to work independently, prioritize tasks, and meet deadlines.
Professional, dependable, and team-oriented with a strong work ethic.
