The Administrative Support Specialist plays a key role in enabling seamless daily operations within the firm. This professional supports attorneys, partners, and administrative leadership by managing a variety of operational, clerical, and logistical tasks. In doing so, they help ensure that the firm maintains its high standards of responsiveness, precision, and client service.
Key Responsibilities
Manage daily front-office activities, including greeting visitors, answering phones, and handling mail and electronic correspondence
Serve as a primary liaison between attorneys, support staff, and clients for administrative and scheduling needs
Prepare, format, and proofread legal and internal documents, including correspondence, memos, briefs, and presentations
Assist with scheduling client meetings, hearings, depositions, and internal team appointments, ensuring proper documentation and calendar management
Coordinate travel arrangements, including itineraries, accommodations, and expense tracking when needed
Organize and maintain both physical and electronic filing systems, ensuring documents are easily retrievable and properly stored
Provide backup support for administrative colleagues, including occasionally handling basic billing entries or docketing assistance
Assist with onboarding new staff members by preparing office setups, access credentials, and introductory materials
Support event coordination, such as client receptions, seminars, or firm gatherings, managing logistics and materials
Identify opportunities to streamline administrative workflows and suggest efficiency improvements
Qualifications & Skills
Minimum of one to three years of experience in administrative support, office coordination, or legal support—preferably within a professional services or law firm environment
Proficient in Microsoft Office suite (Word, Outlook, Excel); familiar with document management and scheduling tools is a plus
Highly organized, with strong attention to detail and the ability to manage multiple tasks with competing deadlines
Excellent written and verbal communication skills and a polished, professional demeanor when interacting with internal and external stakeholders
Trustworthy and discreet handling of sensitive client and firm information
Ability to work independently as well as collaboratively in a fast-paced, team-oriented environment
