Job Summary:
This position will be located at the operations center with an office in the Transportation building. The function of this assistant position is operational support to the Director of Operations assisting with timekeeping, trip ticket processing, route maintenance, and procurement within the Maintenance and Transportation departments.
Reports to:
Director of Operations
Pay: According to the Clerical Scale
Qualifications:
High school diploma or equivalent required Prior experience in an administrative or receptionist role preferred. Strong organizational and multitasking skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Bus driver license preferred. Strong attention to detail and accuracy. Essential Functions : Functional daily attendance Manage incoming phone calls and assist with dispatch radio duties Track employee timekeeping records and assist with payroll documentation to ensure accurate reporting and timely submission. Process trip tickets each month, ensuring all data is accurately entered and recorded. Regularly update and maintain bus route schedules to ensure all information is accurate and up-to-date. Assist schools in maintaining bus rosters Assist with tallying and processing invoices, ensuring they are accurate and submitted on time for approval. Enter all requisitions for Maintenance, Custodial and Transportation into the system to facilitate smooth operational processes. General clerical duties as assigned All other duties as assigned.
