Summary
We are seeking a reliable, organized, and experienced Administrative Assistant to oversee the administrative operations of our childcare center. This individual will be responsible for managing front office activities, supporting compliance and licensing tasks, handling parent communication, and coordinating enrollment and staff documentation.
Duties
Oversee day-to-day administrative operations at both center locations
Greet parents, visitors, and vendors professionally and warmly
Handle incoming calls, emails, and parent inquiries
Manage child enrollment files, waiting lists, and attendance records
Maintain compliance documentation for licensing and inspections
Track and organize employee files, certifications, and timecards
Assist with tuition invoicing, subsidy documentation, and payments
Coordinate meetings, events, and center-wide communication
Order supplies and manage inventory for classrooms and office needs
Support the Center Director and Owner with reporting and scheduling
Requirements
High School Diploma or GED required; Associate’s or Bachelor’s degree preferred
2+ years of administrative or office management experience (childcare setting preferred)
Excellent communication and organizational skills
Proficient in Microsoft Office and Google Workspace (Docs, Sheets, Forms)
Familiarity with childcare licensing or subsidy paperwork
Ability to multitask and remain calm in a fast-paced environment
Must pass background checks and meet all health and safety requirements
