Administrative Assistant
to their team located in Providence, Rhode Island. Salary/Hourly Rate: $25/hr Position Overview: This Administrative Assistant role is in Providence, Rhode Island. The Administrative Assistant provides critical support to ensure the smooth day-to-day operations of the office and team. This role is responsible for managing calendars, scheduling meetings, handling correspondence, and coordinating administrative tasks with accuracy and attention to detail. Acting as a first point of contact, the Administrative Assistant maintains a professional and welcoming presence while assisting with document preparation, data entry, and information management. Responsibilities of the Administrative Assistant:
Manage calendars, schedule meetings, and coordinate travel arrangements for staff and leadership.
Serve as the first point of contact by answering phones, greeting visitors, and handling correspondence.
Prepare, proofread, and edit documents, presentations, and reports with accuracy.
Maintain organized filing systems (electronic and paper) to ensure easy access to records.
Support office operations by ordering supplies, processing invoices, and coordinating vendors.
Assist with data entry, database updates, and the generation of routine reports.
Coordinate logistics for meetings, events, and conference calls, including room setup and materials.
Track deadlines and follow up on outstanding tasks to support team productivity.
Handle confidential information with discretion and professionalism.
Provide ad hoc administrative support as needed to team members and leadership.
Required Experience/Skills for the Administrative Assistant:
Minimum of 3 years of experience in administrative coordination or support roles.
Proficient in Microsoft Office, including Outlook, Excel, and Word.
Skilled in Google Suite applications (Docs, Sheets, Forms, Drive, Gmail, Calendar).
Exceptional organizational and time management abilities with strong attention to detail.
Excellent written and verbal communication skills, with the ability to build positive relationships across all levels.
Proven ability to manage multiple priorities and respond effectively in a fast-paced environment.
Preferred Experience/Skills for the Administrative Assistant:
Experience supporting senior leadership or cross-functional teams in a corporate, nonprofit, or academic environment.
Prior involvement in coordinating events, meetings, or travel logistics for teams or executives.
Exposure to document management systems and maintaining confidential records.
Background in preparing reports, presentations, or meeting materials for internal and external stakeholders.
Experience handling vendor coordination, invoice processing, or basic procurement tasks.
Knowledge of office policies, procedures, and compliance requirements in a regulated environment (e.g., healthcare, higher education, finance).
Ability to anticipate team needs and proactively streamline administrative workflows.
Education Requirements:
High school diploma or equivalent is required.
