Administrative Coordinator - Temporary Position
This position is temporary position with a tentative end date of November 30, 2025
Summary
The Employee Health Coordinator will contribute to and support the administrative and clinical functions of the Employee Health Department including workplace medical and wellness services. These responsibilities will include record and system maintenance, as well as leveraging existing resources and providing staff with practical information and services related to wellness and benefits.
Essential Job Responsibilities
Coordinate the employee injury & worker's compensation process
Review incident reports and track outcomes
Follow up with employees and collaborate with providers to complete incident investigations and coordinate care if necessary
Collaborate with Worker's Comp TPA to file claims, provide necessary documentation, etc.
Communicate with leaders to relay restrictions and provide updates.
Create, update, and maintain worker's comp/employee safety files & reports
Oversee the Employee Fitness Center, approve access requests, and coordinate with security to grant badge access to employees
Play an active role in planning and promoting various health and wellness initiatives, programs, and services for employees.
Perform general administrative roles and responsibilities
Answer phones, greet visitors, make appointments, maintain schedules
Manage incoming and outgoing mail and related correspondence
Assume scheduling responsibilities for activities of the department including: pre-Employment onboarding, COVID testing, clinic activities, etc.
Assist employees or visitors with problems, take appropriate action, or refer to appropriate personnel
Create, update, and maintain confidential and comprehensive employee health records adhering to HIPAA guidelines, including maintenance of appropriate technology platforms, tools, and systems, including but not limited to: OSHA reporting, Michigan Care Improvement Registry (MICR), EMR (EPIC)
Support assigned projects such as:annual vaccine clinics & compliance tracking, employee wellbeing program, N95 mask fitting, etc.
Collaborate between Employee Health and Medical Group, Worker's Compensation TPA, and HR to facilitate appropriate programs, employee needs, education, and leave management as appropriate.
May actively participate in Infection Prevention, Environmental Safety, Disaster Planning Committees, or other task force meetings as requested
Manage appropriate processes, equipment, and supplies
Perform other duties as assigned

Essential Job Qualifications Associate Degree or high school diploma and 3+ years of experience in a similar position required
Proficient language and grammar skills with the ability to compose, edit and proof letters, memos, minutes, and other correspondence.
Adept with computers in multiple applications (MS Word, Excel, Office Outlook, Adobe, PowerPoint, SharePoint) are essential, familiarity with EMR and basic understanding of clinical tasks helpful
Ability to type 50 words per minute
Customer-focused and motivated to help others
Demonstrated organization and problem-solving skills to collaboratively with others throughout the system
Exercise judgement and make independent decisions as well as preserve the confidentiality of special matters
