ADMINISTRATIVE ASSISTANT JOB SUMMARY

We are seeking an administrative professional to assist and support with day-to-day clerical operations such as filing paperwork, managing correspondence, answering phone calls, and maintaining organized records.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Maintaining accounts payable current balances: Verify and enter Purchase Order and Invoices in company's accounts payable system. Verify Job cost allocations Interaction with vendors to update account balances, request credits, and/or required paperwork. Assist end of month closing procedures, general ledger, and profit / loss reports General Office Maintenance: Cover reception area during business hours Receive and provide general support to visitors Exhibits polite and professional communication in person, phone, e-mail, and postal mail. Answer and direct phone calls Coordinate shipment of supplies General office purchases Maintain organized inner office procedures Submit and reconcile expense reports Draft and review outgoing correspondence Draft and document Project Submittals and relevant documents. Document all incoming and outgoing correspondence. Respond to inquiries as required. Assist in the preparation of invoices and reports Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations. EDUCATION

High school diploma or general education degree (GED) required. PREFERRED SKILLS AND EXPERIENCE

A minimum of 1-3 years similar of similar Administrative Experience. Strong communication and interpersonal skills. Excellent computer skills (OUTLOOK, EXCEL, WORD, etc). Experience with Construction or Roadway firms is not required, but a plus. CONDITIONS OF EMPLOYMENT

Proficient computer/office skills (OUTLOOK, MICROSOFT, EXCEL, WORD, etc.) Must pass a pre-employment criminal background check. Must pass a pre-employment Drug and Alcohol Test Must demonstrate eligibility to work in U.S. WHY JOIN US? WE HAVE MANY BENEFITS:
