Adecco is currently assisting our local client recruiting for Executive Assistant for a prestige's client located in Fountain Valley, CA. The Executive Assistant will support the Division Heads and play a critical role in ensuring the smooth operation of daily executive-level functions. This is a dynamic, fast-paced role suited for a detail-oriented individual who can manage multiple priorities with professionalism and discretion. The position reports directly to the COO and offers the potential to transition to a full-time hire.
Payrate:
$32.00 - $60/hr DOE
Schedules:
Monday – Friday 7:00am to 4:00pm with overtime required and Flexibility to adapt to schedule changes based on client needs.
Responsibilities
:
• Calendar and administrative support for the Division Head(s) to meet the diverse requirements of the division and organization’s objectives.
• Coordinate executive calendars, travel, meetings, conference calls, written communications, correspondence, and other project-oriented task for the Division Head(s).
• Proactively identify and resolve calendar conflicts.
• Organize all aspects of division meeting logistics, including setup, distribution of materials, and catering.
• Work independently, innovatively, and efficiently in a fast-paced environment, handling multiple responsibilities and meeting multiple deadlines.
• Able to adapt to shifting priorities and can easily adjust to new circumstances with minimal notice and guidance.
• Maintain helpful, willing, and responsive attitude with all interactions.
• Completes assigned projects on time and with accuracy.
• Coordinate the Division Head(s) calendar, travel, meetings, conference calls, written communications, correspondence, and other project related responsibilities.
• Process monthly detailed expense reports through the Concur system.
• Coordinate travel arrangements with corporate travel agency.
• Handle all aspects of meeting logistics for division.
• Prepare and/or assist in preparation of reports and presentations.
• Review files/materials for accuracy and consistency.
• Help in researching and analyzing division related information, when necessary.
• Maintain and update division specific system/software.
• Manage internal/external correspondence, handling highly confidential issues.
• Serve as Department Ambassador, acting as liaison for all employee transfer/hiring processes and other duties as assigned.
• Any other tasks and responsibilities, not limited to above, as assigned by the Division Head(s).
• This position stands alone as the Executive Assistant and wears many different hats and must organize and coordinate all aspects of the work environment. Though decisions are not critical to the running of the division or company, each decision is based on knowledge and understanding of what needs to be done to bring a project to closure in a professional and timely manner.
• This is a support position, focused on delivering day to day tasks and analyses with a degree of autonomy while receiving general instructions and supervision.
• Exercise of discretion and independent judgment directly related to significant management and/or general business operations is not required.
Qualifications
· High school diploma required; Bachelor’s degree preferred.
· Minimum of 5 years of Executive Assistant experience, ideally supporting senior leadership.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Strong written and verbal communication skills.
· Exceptionally organized with a high attention to detail.
· Adaptable, reliable, and able to work effectively with diverse personalities.
· Flexibility to adapt to schedule changes based on client needs.
