Executive Personal Assistant to Investor and Advisor

Investor and advisor working with tech founders is looking for an Executive Personal Assistant to provide holistic support. This is a great opportunity for a long-term partnership where you'll be a partner to the Executive of a small, collaborative team! In this role, you'll manage high-volume scheduling, triage communications, coordinate travel, and plan events and dinners. You will also handle personal logistics, including appointments, childcare coordination, household management, and project management for various tasks, from vendor research to home renovations. Someone proactive who takes initiative, has exceptional attention to detail and polished communication, who stays calm under pressure. This is a fully remote role, with a preference for working in EST. 130-180K+ DOE + benefits, bonus, 401k, and flexible PTO.
Responsibilities:
Provide holistic support to ensure the Executive's professional success and personal well-being through proactive management of priorities. Manage high-volume scheduling and oversee calendars across multiple time zones. Prioritize and coordinate meetings with an understanding of context and stakeholder needs. Oversee inbox management, including triaging messages, flagging urgent items, and clearing out non-essential emails. Coordinate travel arrangements and prepare detailed trip itineraries for both personal and professional. Serve as primary liaison with financial and legal teams, filtering issues to ensure only high-leverage matters reach the Executive. Handle administrative and operational tasks such as sending invoices. Plan and execute professional and personal events ranging from client meetings to founder dinners and family gatherings Coordinate and manage gift selections for professional and personal occasions. Maintain and update family calendar, including commitments, activities, and logistics. Arrange personal appointments, maintaining comprehensive records and ongoing schedules. Manage family logistics, including childcare arrangements, activities, and personal appointments. Oversee household operations, including staff management, renovation projects, supplies, and maintenance. Qualifications: Previous 4+ years of experience as an Executive Assistant or similar role supporting Founders, C-level, or senior leadership. Highly intelligent, proactive, and resourceful with strong problem-solving skills. Confident decision-maker with excellent judgment, discretion, and sensitivity. Comfortable taking initiative, managing up, and presenting clear action plans. Process-oriented with a continuous improvement mindset. Steady, positive energy and adaptability in a fast-paced environment. Strong ability to work independently and remotely with minimal supervision. Creative thinker with a sense of taste and attention to detail. Proficient with tools such as Google Workspace, Notion, Slack, Zoom, and ChatGPT.
