We are a dynamic, fast-growing organization with diverse divisions. We are seeking a highly skilled Executive Assistant to provide top-level administrative support, help streamline operations, and serve as a trusted partner in managing the demands of leading multiple companies.
Position Overview
The Executive Assistant will work directly with the Owner to ensure daily priorities are executed efficiently across all divisions. This role requires exceptional organizational skills, confidentiality, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and thrives in a role that blends executive-level support with operational oversight.
Key Responsibilities
Act as the primary point of contact between the Owner and internal/external stakeholders Manage complex calendars, scheduling, and travel arrangements across multiple businesses Prepare reports, correspondence, and presentations for executive-level meetings Handle confidential information with the utmost discretion Monitor deadlines, initiatives, and special projects to ensure follow-through Assist with strategic planning, prioritization, and coordination of tasks across eight divisions Support communication flow by drafting emails, memos, and company updates on behalf of the Owner Attend meetings (in-person and virtual), take detailed notes, and track action items Coordinate with division leaders to provide updates and streamline decision-making for the Owner Qualifications
Minimum of 5 years' experience as an Executive Assistant, preferably supporting a CEO/Owner/Executive in a multi-division company Strong organizational and project management skills Exceptional written and verbal communication abilities High level of professionalism, integrity, and discretion Proficiency with Microsoft Office Suite, Google Workspace, and project management tools Ability to work under pressure, adapt quickly, and anticipate needs What We Offer
