Position Summary
The Administrative Assistant provides comprehensive administrative and operational support to the TRIO Collegiate Programs, including two McNair programs and one SSS STEM program. This position ensures the efficient day-to-day functioning of program offices, assists with student services coordination, manages program documentation, and supports program staff in implementing federal TRIO initiatives. The role requires a high level of organization, discretion, and the ability to interact professionally with students, staff, and external partners.
Required Qualifications
Associate's or Bachelor's degree in Business Administration, Education, or related field.
Experience supporting federally funded programs, academic programs, or TRIO initiatives.
Experience coordinating events, workshops, or student programming.
Familiarity with student information systems, database management, and grant reporting.
Preferred Qualifications
Preferred Education/Experience
Knowledge of office procedures, scheduling, and administrative processes.
Strong interpersonal skills to interact with diverse student populations and staff.
Ability to maintain accurate records, track data, and assist with reporting requirements.
Skills in planning and coordinating meetings, travel arrangements, and program logistics.
Ability to prioritize multiple tasks, meet deadlines, and adapt to changing priorities.
Proficiency in professional correspondence and documentation preparation.
Required Knowledge, Skills, and Abilities
Proven experience in administrative support, preferably in higher education or nonprofit settings.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
Strong organizational and time-management skills with attention to detail.
Ability to handle confidential information with discretion and professionalism.
Effective written and verbal communication skills.
Ability to work independently and collaboratively in a fast-paced environment.

Essential Duties/Responsibilities
Essential Duties/Responsiblities Provide administrative support to TRIO program directors, coordinators, and staff. Maintain accurate student records, databases, and program documentation in compliance with federal TRIO regulations. Assist in coordinating program events, workshops, orientations, and student activities. Serve as a point of contact for students, faculty, and external partners. Manage program calendars, schedule meetings, and organize travel logistics for staff and students. Prepare correspondence, reports, and presentations for program staff and leadership. Assist with budget tracking, purchase requests, and processing invoices as needed. Support data collection, reporting, and documentation for federal grant compliance. Monitor office supplies and equipment, ensuring smooth day-to-day operations. Perform other duties as assigned to support TRIO program objectives and departmental operations.
