Summary of Position Are you a passionate, driven, and experienced administrative assistant who is looking to join an outstanding fire department?

Works under the general guidance and direction of the Fire Chief and Assistant Fire Chief to perform varied administrative support/receptionist duties and coordinates public fire/safety education programs throughout the City of Coon Rapids for the Fire Department.

Essential Duties and Responsibilities Essential duties listed below are intended only as illustrations of the various types of work that may be performed. Types correspondence, memoranda, forms, reports, and other documents. Serves as receptionist for the department by responding to public inquiries, in-person, electronically and by phone, concerning routing departmental information and policies. Responds to requests from public for program information or tours. Coordinates tours with office staff and at the fire stations. Maintains data for "Disabled/Impaired" program for Coon Rapids citizens and provides this information to dispatch. Provides effective, positive, professional, and respectful communication with other employees, supervisors, individuals from other organizations, and citizen customers. Assists the Fire Prevention Bureau with coordinating Safety Camp and Fire Prevention Week. Attendance during regularly scheduled work hours and outside regular hours, as necessary. Performs other related functions as apparent or delegated. Maintains departmental physical and electronic files. Proficiency in Microsoft products. Maintains first aid supply inventory for municipal buildings. Maintains spreadsheets to track annual firefighter vacation hours, sick leave, and uniform allowance. Assists with designing, implementing, and evaluating fire safety education programs at preschool, primary, and secondary grades for all schools within the city. Help to establish fire safety education programs for seniors, business, community, and local civic organizations throughout the city. Required Knowledge and Abilities To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.

Ability to work independently with self-motivation and effective time management. Ability to accurately perform clerical work with a high degree of accuracy, concentration, and judgment. Ability to communicate effectively in both written and spoken word. Willingness to attend school and seminars pertaining to fire prevention. Ability to compose, edit, and proofread by having knowledge of grammar, punctuation, spelling, and the mechanics of business letters and forms. Considerable knowledge of office practices, procedures, and general clerical functions. Handles confidential information appropriately. Ability to handle emergency and stressful situations. Knowledge of fire prevention activities. Typing skill of 60 wpm. Ability to make varied arithmetic computations and tabulations rapidly and accurately. Ability to organize and manage multiple tasks, work effectively under pressure, and completes work in a timely and accurate manner with minimal supervision. Ability to work cooperatively with city personnel, external vendors, and the public. Ability to perform duties with tact, diplomacy, and discretion. Must be detail oriented and follow through with tasks. Must have the ability to accept constructive criticism or discipline in a positive manner, initiating self-development to improve job performance. Must strive to promote a cooperative atmosphere in the department and exhibit a positive attitude. Qualifications and Other Information MINIMUM QUALIFICATIONS:

A combination of training and experience substantially equivalent to the following: High School diploma or equivalent, plus at least three (3) years of current, progressively responsible administrative support experience. Fluent in the full suite of Microsoft Office: PowerPoint, Excel, Word. Excellent grammar, spelling, punctuation, and vocabulary required. Typing skill of 60 words per minute, accurately. Experience working with the public.

PREFERRED QUALIFICATIONS:

Experience in municipal Fire Department setting utilizing (National Emergency Response Information System) NERIS.

EQUIPMENT/JOB LOCATION:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. This position will be located at the City Center. It will use common office supplies and equipment, and the noise level is typically quiet. Exposure to computer monitors in the office is typical. This position works closely with others.
