Overview
The mission of Alum Rock Counseling Center (ARCC) is to heal families and inspire youth to reach their full potential. ARCC provides behavioral health counseling and school-based support to promote health equity and educational equity, focusing on high-need East and Central San Jose and a predominantly Latinx population. ARCC serves youth and caregivers who might otherwise struggle to access quality care, with programs across 13 initiatives and partnerships in 30+ high-need schools. The work schedule will be determined by the centers needs, with in-person work Monday through Friday during operating hours of 10am 7pm, and with flexibility for evenings. The role is based at the Palo Alto allcove site. Position location and program context:
Allcove is a network of integrated youth mental health centers designed with, by, and for youth, serving ages 12-25 and offering mental health, physical health, substance use, peer support, family support, and education/employment services. The part-time allcove Office Assistant will provide general office and clerical support for the allcove Palo Alto site. The Office Assistant is the first point of contact for youth, staff, and the community, greeting visitors and providing direct support for site needs. The role requires professionalism, integrity, and a positive, courteous attitude. The Office Assistant will build trust with young people seeking services and help orient them to allcove and the care team. The position is supervised by the allcove Program Manager I. Essential Job Functions
Performs initial orientation support to create a welcoming, inclusive, youth-friendly experience for young people (ages 12-25). Greets young people professionally to create a safe, welcoming space. Maintains a professional and courteous demeanor with staff, young people, and community members. Assists with forms, intake questionnaires, and initial screening or assessments, including registering youth in datacove. Works with the allcove care team to support day-to-day administrative tasks. Answers incoming calls and transfers to appropriate personnel. Directs referrals to the proper care team or community partner. Supports scheduling appointments for the allcove team. Scans paperwork and files as needed. Maintains order and cleanliness of common areas and client-facing spaces. Maintains copies of forms and program materials in the lobby area. Runs errands and assists with logistics for meetings and events. Prepares meeting/conference spaces and assists with setup as needed. Opens and/or closes the center and resets client-facing areas for the day. Supports minutes for Community Consortium meetings and event execution as needed. Provides crisis support in collaboration with the care team as needed. Models positive behavior and ensures youth supervision and safety. Builds authentic relationships with young people and supports engagement in center services. Represents allcove positively in the community and adheres to organizational policies and procedures. Assists in administering and supporting the allcove contract to meet funding requirements. Completes and maintains related records and documentation and participates in data collection. Maintains confidentiality and security of organizational and client records. Maintains visitor tracking and completes required paperwork within expected timeframes. Administers, collects, and compiles evaluation data as needed for program needs. Adheres to child abuse reporting laws with supervision. Participates in supervision, team meetings, trainings, and professional development as required. Performs related duties as assigned by a supervisor. Skills and Abilities
Able to establish rapport and maintain authentic relationships with young people. Able to work independently and as part of a team. Broad knowledge of social, mental health, and substance use services in the community. Knowledge of systemic issues and risk factors facing marginalized groups in Santa Clara County (including LGBTQIA, BIPOC, juvenile justice involved youth, undocumented young people). Experience working with diverse ethnic/cultural backgrounds. Problem solving, decision-making, and multi-tasking abilities; ability to process information to support the organization. Strong written and verbal communication skills. Ability to observe changes in youth and communicate them to the care team. Excellent organizational and time-management skills, reliability, and punctuality. Ability to work independently and show initiative, and to collaborate in an interdisciplinary team. Basic computer skills: Microsoft Office, Excel, PowerPoint, Outlook. Demonstrated initiative and willingness to take on responsibility. Organized and detail-oriented; able to work under pressure. Prompt, reliable, and eager to learn. Qualifications and Experience
AA or BA from an accredited college or university preferred. At least two years of administrative support experience; experience in a community-based services agency is preferred. Experience working with young adults with mental health issues is preferred. Lived experience with mental health and/or substance use issues is preferred. Experience operating and troubleshooting office equipment (printers, copiers, faxes) preferred. Understanding of confidentiality laws and policies; commitment to confidentiality in duties. Strong understanding of Child and Adult Protective Services rules, HIPAA, mandated reporting, and limits of confidentiality preferred. Ability to work part-time with evening availability. Ability to lift up to 25 lbs. Fingerprinting and background checks as required by DOJ/FBI; TB clearance required; valid drivers license and insurance.
