The Tyee Office Administrative Assistant/Receptionist (payroll title: Administrative Assistant 3 (NE S SEIU 925 Non Supv)) reports to the Director of the Annual Fund and supports Tyee Club Staff, Tyee Club members, and ICA Senior Administration. Responsibilities
Receptionist and customer service support: primary receptionist for the Tyee Club Advancement Office; provide high levels of customer service, respond to inquiries, clarify policies, and resolve donor issues. Duties include answering and directing phone calls, returning voicemails, handling Tyee Club email inquiries, maintaining office files, and serving as the first point of contact for donor seating and benefits. Administrative communication and facilities support: answer phones, take messages, greet visitors, provide wayfinding, coordinate parking for department guests, maintain parking permit inventory, facilitate the pickup/drop-off of materials, and attend Tyee Club and Annual Fund meetings with the Director of the Annual Fund. Administrative Support
Provide executive administrative support for Senior Associate Athletic Directors, including scheduling appointments, speaking engagements, seminars, and committee meetings with internal and external stakeholders. Operate daily in donor databases (Paciolan, PacFund, Tandem, and event registration systems); assist Tyee Club staff by running reports and researching information. Create invoicing forms for premium seating, general donor seating and parking when requested. Manage donor correspondence and logistics, including merging, sorting, and mailing of solicitations and acknowledgments. Coordinate donor benefits and fulfillment for the annual fund and assist with Big W Club administrative needs. Manage event registrations for Tyee Club events, provide registration support to Event Managers, and process changes of address in donor systems. Serve as liaison and administrative support for Tyee Sports Council volunteers and Chairs. Operations Support
Develop and maintain interdepartmental mail distribution, manage packages, deliveries, and lobby displays; maintain directories and contact lists. Maintain the Graves Building reception area and meeting spaces; schedule conference room activities and restock refreshments. Monitor equipment and office supply inventory; place supply orders and arrange shredding per records retention policy; assist with budget estimates as needed. Manage charitable donation program for the Athletic Department, respond to requests, and maintain records. Provide support during home football gamedays in the Luxury Suite area as a backup to the Director of the Annual Fund. Other duties as assigned. Compliance with UW, NCAA, Conference, and state regulations is essential. Participation in rules education programs may be required. Work hours are typically 8am5pm, Monday through Friday, with occasional evening or weekend hours as related to games or projects. Qualifications
Minimum Requirements Requires High School/GED and three years of office or administrative support experience. Equivalent education and/or experience may substitute for minimum qualifications except where there are legal requirements (license, certification, registration). Additional Requirements Some experience in development, fundraising or a similar field is preferred. Requires high levels of customer service, proficiency with MS Office products, and strong database management skills. Must be professional and comfortable around donors, senior administrators, coaches, and staff. Strong attention to detail and the ability to take initiative on special projects and daily tasks. Desired Requirements Bachelor's degree and university-level experience or experience in a NCAA Division I athletic environment strongly preferred. Compensation, Benefits and Details
Pay Range : $47,448.00 $63,468.00 annually Other Compensation : Taxable benefits include tickets to UW intercollegiate home competitions.
